About the role

VMG Interior Fit Out Sdn. Bhd. is seeking an Senior Contract Executive to join our growing team in Kota Damansara, Selangor. This is a full-time position that plays a crucial role in supporting the successful delivery of our interior fit-out projects. As Senior Contract Executive, you will work closely with our senior contract management team to ensure projects are delivered on time, within budget and to the highest standards of quality. This role is instrumental in maintaining strong client relationships and ensuring compliance with contractual obligations across our portfolio of projects.

Key responsibilities

• Assisting in the preparation and administration of contract documentation, including tender submissions, contract terms and project schedules
• Supporting the coordination and monitoring of project timelines, deliverables and key milestones to ensure projects remain on schedule
• Conducting site inspections and liaising between project teams, contractors and clients to ensure contractual compliance and quality standards are maintained
• Assisting with the management of contract variations, change orders and claims documentation in accordance with contractual terms
• Maintaining accurate and organised project records, including contracts, correspondence, certificates and progress reports
• Supporting the invoicing and payment certification process, ensuring documentation is complete and accurate
• Identifying and escalating potential contractual risks or disputes to senior management in a timely manner
• Providing administrative support to the contract management team, including scheduling, correspondence and meeting coordination
• Contributing to continuous improvement of contract management processes and procedures

What we're looking for

• A degree in construction management, surveying, civil engineering or a related discipline
• 0-3 years of experience in contract management, construction project coordination or a related role within the construction or fit-out industry
• Strong organisational and time management skills with the ability to manage multiple priorities effectively
• Excellent written and verbal communication skills with proficiency in English and preferably Bahasa Malaysia
• Proficiency in Microsoft Office Suite, particularly Excel and Project, and familiarity with contract management software
• A solid understanding of construction contracts, procurement principles and project administration practices
• Attention to detail and accuracy, particularly when managing contractual documentation and records
• Ability to work collaboratively within a team environment and build positive relationships with internal and external stakeholders
• Problem-solving mindset with the ability to identify issues and propose practical solutions
• Knowledge of building regulations, safety standards and quality assurance practices in the construction industry
