Warehouse Operations & Logistics Executive

Job Summary
We are looking for an organised and responsible Warehouse Operations & Logistics Executive to support our daily warehouse, inventory, documentation, and delivery operations.
This role is responsible for preparing and maintaining Delivery Orders (DOs), invoices, and other warehouse documents; coordinating daily deliveries with lorry drivers; ensuring inventory is accurately recorded and properly maintained; and ensuring that the Company’s warehouse systems and standard operating procedures are consistently followed.
The successful candidate should be comfortable working across both administrative and warehouse-related responsibilities. This is not a purely desk-based position, as the role requires regular coordination with warehouse staff, drivers, Sales, Accounts, and other departments.
Key Responsibilities
Warehouse Documentation
* Prepare, check, issue, and maintain Delivery Orders, invoices, stock transfer documents, return documents, and other warehouse-related records.
* Ensure all delivery documents contain the correct customer details, product descriptions, quantities, vintages, and supporting information.
* Ensure signed Delivery Orders and relevant documents are returned by drivers after each delivery.
* Properly organise and file all warehouse and delivery documents for future reference and audit purposes.
* Coordinate with the Sales and Accounts teams to resolve missing, incomplete, or incorrect documentation.
Delivery Coordination
* Plan and coordinate daily delivery schedules with lorry drivers, warehouse staff, Sales, and relevant departments.
* Ensure drivers receive the correct products, Delivery Orders, invoices, and delivery instructions before departure.
* Confirm that all products are checked, picked, packed, and loaded correctly before delivery.
* Monitor delivery progress and follow up on delayed, failed, rejected, or rescheduled deliveries.
* Ensure drivers return signed documents, rejected products, empty containers, or customer returns when applicable.
* Maintain accurate records of completed and outstanding deliveries.
Inventory Management
* Record all incoming and outgoing inventory accurately in the warehouse or inventory management system.
* Assist with regular stock counts, cycle counts, and inventory reconciliation.
* Ensure physical inventory matches the quantities recorded in the system.
* Monitor product condition, storage location, batch information, vintage, expiry dates, and stock movement where applicable.
* Investigate and report stock shortages, damaged products, incorrect quantities, or other inventory discrepancies.
* Ensure returned or damaged products are properly documented, separated, and reported.
* Support stock transfers between warehouse locations when required.
Warehouse Organisation and Product Care
* Ensure all products are properly stored, labelled, organised, and protected from damage or loss.
* Maintain proper warehouse housekeeping, cleanliness, and product arrangement.
* Ensure products are stored according to the Company’s required storage and handling procedures.
* Monitor stock placement to support efficient picking, packing, and loading.
* Report any damaged stock, unsafe storage conditions, or warehouse maintenance issues to management.
* Assist in maintaining appropriate security and access controls within the warehouse.
Warehouse Systems and SOP Compliance
* Ensure that all inventory movements and warehouse transactions are recorded in the designated system.
* Support the implementation and daily use of the Company’s warehouse and inventory management systems.
* Ensure warehouse staff consistently follow the required system procedures and documentation processes.
* Monitor compliance with warehouse SOPs covering receiving, storage, picking, packing, dispatch, returns, and stock adjustments.
* Identify operational gaps and recommend improvements to warehouse and delivery processes.
* Assist management in improving warehouse efficiency, inventory accuracy, and accountability.
* Prepare basic warehouse, inventory, and delivery reports when required.
Interdepartmental Coordination
* Work closely with the Warehouse, Logistics, Sales, Accounts, Administration, and Operations teams.
* Assist with invoice and Delivery Order discrepancies raised by customers or internal departments.
* Communicate delivery changes, stock issues, or operational problems promptly to the relevant parties.
* Support other reasonable warehouse, logistics, administrative, and operational duties assigned by management.
Requirements
* Minimum SPM, Diploma, or equivalent qualification in Logistics, Supply Chain, Business Administration, Accounting, or a related field.
* At least 1–3 years of experience in warehouse administration, inventory control, logistics coordination, or a similar position is preferred.
* Experience preparing or handling Delivery Orders, invoices, and warehouse documentation.
* Familiarity with inventory, warehouse, accounting, ERP, or order management systems will be an advantage.
* Basic proficiency in Microsoft Excel, Microsoft Word, email, and general computer applications.
* Able to maintain accurate records and handle documentation carefully.
* Strong organisational, coordination, and problem-solving abilities.
* Able to communicate effectively with drivers, warehouse staff, Sales, Accounts, and management.
* Responsible, dependable, detail-oriented, and able to follow up on outstanding matters.
* Comfortable working in a warehouse environment and handling wine, spirits, and other beverage products.
* Able to work independently while cooperating effectively with different departments.

* Strong attention to detail, particularly when checking products, quantities, Delivery Orders, and invoices.
* Takes ownership of assigned responsibilities and follows tasks through to completion.
* Able to identify discrepancies and raise concerns promptly.
* Willing to learn and consistently use new warehouse or inventory systems.
* Able to work in a fast-paced environment and manage changing delivery priorities.
* Demonstrates integrity when handling inventory, documentation, and company property.
