We are looking for an experienced and responsible Export Customer Service to join our freight forwarding team. The successful candidate will be responsible for managing export shipments from booking confirmation through vessel departure, while ensuring timely coordination with customers, shipping lines, hauliers, terminals and internal department.
Key Responsibilities
- Handle daily export customer service and shipment coordination for sea freight shipments.
- Manage export bookings with shipping lines and follow up on booking confirmation.
- Coordinate with customers regarding shipping instructions (SI), VGM, BL details and other required documentation.
- Monitor vessel schedules, CY closing, SI cut-off, VGM cut-off and other relevant deadlines.
- Coordinate container arrangements with hauliers, including container pickup, loading arrangements and empty container return.
- Monitor container movement and ensure containers are delivered to the terminal within the required cut-off.
- Follow up with shipping lines, terminals and hauliers regarding booking, container and vessel-related matters.
- Provide customers with timely updates on booking status, container movement, vessel schedule and any operational changes.
- Handle shipment delays, rolled bookings, vessel changes, documentation discrepancies and other operational issues.
- Coordinate with the documentation, operations and billing teams to ensure smooth shipment processing.
- Ensure export shipment information is accurately updated in the company’s system.
- Maintain proper records of bookings, shipping documents and customer correspondence.
- Follow up outstanding matters proactively and ensure shipments are handled according to company SOP.
- Handle customer enquiries and resolve operational issues professionally.
- Perform other duties related to export operations and customer service as assigned.
Requirements
- Minimum 2 years of experience in Export Customer Service / Freight Forwarding / Shipping.
- Good understanding of sea freight export procedures and documentation.
- Familiar with:
- Export booking process
- Shipping Instruction (SI)
- VGM
- Bill of Lading (BL)
- CY closing / SI cut-off
- Vessel schedules
- Container pickup and empty return
- Haulier coordination
- Shipping line coordination
- Experience dealing with shipping lines, terminals, hauliers and customers.
- Good knowledge of export shipment workflow from booking until vessel departure.
- Good communication and follow-up skills.
- Able to handle multiple shipments and deadlines simultaneously.
- Detail-oriented, organized and able to work under pressure.
- Good command of English and Bahasa Malaysia.
- Proficient in Microsoft Office.
- Experience with freight forwarding / shipping systems is an advantage.
