We are looking for a proactive, detail-oriented, and organized System Executive to join our Quality Management team in a fast-paced FMCG manufacturing environment. This role is responsible for governing and maintaining the company's Food Safety & Quality Management Systems (FSQMS), with a primary focus on ISO 22000, MS 1480 (HACCP), document control governance, internal audit coordination, audit readiness, certification maintenance, and Halal Assurance System (HAS) compliance.

Key Responsibilities:

They are able to maintain continuous audit readiness, uphold document control integrity, and collaborate effectively across cross-functional teams to ensure compliance with food safety standards and continuous improvement initiatives.
Food Safety & Quality Management Systems (FSQMS)
- Execute and monitor the implementation of ISO 22000 and MS 1480 (HACCP) systems across manufacturing operations to achieve and sustain certification compliance.
- Govern and maintain the Food Safety & Quality Management Systems (FSQMS), ensuring compliance with company standards, regulatory requirements, and certification requirements.
- Perform routine system reviews and process gap analyses to identify improvement opportunities and support Continuous Improvement (CI) initiatives.
Master Document Control
- Serve as the Master Document Controller for ISO 22000 and MS 1480 (HACCP) documentation.
- Govern quality manuals, Standard Operating Procedures (SOPs), work instructions, forms, and quality records to ensure proper version control, document integrity, and traceability.
- Ensure all controlled documents are accurately maintained, updated, approved, distributed, and archived in accordance with company procedures.
Internal Audit & CAR/CPAR Management
- Coordinate and manage the internal audit programme and audit schedules.
- Own and maintain the central Corrective and Preventive Action Request (CAR/CPAR) tracking register to ensure timely closure, verification, and effectiveness of corrective actions.
- Monitor audit findings, follow up on corrective actions, and maintain complete records of non-conformance resolutions.
- Support continuous audit readiness across manufacturing operations.
Audit Readiness & Certification
- Maintain audit master files, supporting documents, evidence logs, and system records for internal, customer, regulatory, and third-party audits.
- Coordinate certification activities and support external certification audits.
- Ensure all audit documentation is complete, organized, and readily available to facilitate successful audit outcomes.
Halal Management
- Provide system support for the Halal Assurance Management System (HAS) to maintain compliance with JAKIM Halal requirements.
- Coordinate Halal documentation and support Halal audit preparation and follow-up activities.
- Assist in ensuring compliance with company Halal policies and certification requirements.
Cross-Functional & Operational Support
- Collaborate closely with QA, QC, Production, Warehouse, and other departments to ensure timely document updates, audit readiness, and closure of corrective actions.
- Provide operational support, relief coverage, and cross-functional assistance for QA, QC, or Food Safety functions during operational surges, audits, or business requirements.
- Perform any other quality management system or operational duties assigned by the Management.
Requirements
- Bachelor's Degree in Food Science, Food Technology, Quality Management, Science, or a related field.
- 1–3 years of relevant working experience in Quality Management Systems (QMS/FSQMS), document control governance, certification management, or internal auditing within a food manufacturing environment.
- Good knowledge of ISO 22000, MS 1480 (HACCP), JAKIM Halal requirements, and Food Safety Management Systems.
- Experience in document control, internal audit coordination, certification management, and maintaining audit readiness.
- Exposure to internal auditing or Certified Internal Auditor qualification will be an added advantage.
- Familiar with Root Cause Analysis (RCA) tools (e.g. 5-Why) to support investigations, CAR/CPAR tracking, and corrective action implementation.
- Strong attention to detail with excellent document control, record management, and compliance monitoring skills.
- Proficient in Microsoft Excel, Word, and PowerPoint.
- Strong analytical, organizational, and problem-solving skills with the ability to manage multiple priorities.
- Good interpersonal and communication skills, with the ability to collaborate effectively with cross-functional teams and support audit activities.
- Able to work independently in a fast-paced manufacturing environment while maintaining a high level of accuracy and compliance.
