1. Invoicing & Documentation
- Issue customer invoices promptly upon delivery completion.
- Handle returned goods process and adjust/re-issue corresponding invoices.
- Coordinate courier services or directly submit physical invoices to clients.
2. Systems & Records Update
- Prepare daily collection summaries for finance tracking.
- Log, track, and update diesel usage based on fuel receipts and receipts provided.
3. Payments, Collection & Aging
- Follow up closely with customers on outstanding payments and age reports.
- Collect, count, and verify cash collections returned by delivery drivers.
4. Cash & Fleet Control
- Monitor toll cash allocations and verify remaining balances upon trip completions.
- Track fuel/subsidy card usage, issuance, and timely returns.
- Ensure driver logbooks are fully completed after every single trip.
5. Customer Service & Support
- Answer incoming calls and WhatsApp inquiries; arrange customer pickup schedules.
- Assist customers in tracking their goods, trace missing or delayed shipments, and resolve complaints professionally.
6. Stock & Operational Monitoring
- Monitor inventory levels, order stock, and manage incoming stock and returns.
- Update live lorry movements via Google Sheets and monitor delivery statuses with drivers.
- Ensure all outbound goods are properly packed and secured before dispatch.
- Daily monitoring of vehicle GPS systems and recording any speeding or safety incidents.
Job Requirements
- Education: SPM / Diploma / Degree in Business Administration, Logistics, Supply Chain, or a related field.
- Experience: 1–3 years of experience in administrative, logistics, or transport/depot operations.
- Technical Skills:
- Proficient in Google Sheets / Microsoft Excel and standard office applications.
- Familiarity with basic accounting/invoicing software or CRM/ERP systems is an advantage.
- Soft Skills:
- Excellent organizational skills, detail-oriented, and reliable in cash handling.
- Strong communication skills in English and Bahasa Malaysia (Mandarin is a plus for customer service).
- Good problem-solving ability to handle logistics disruptions or customer complaints.
