We are looking for a proactive and organized Sales & Operations Administrator to support our growing medical device business. This role is ideal for someone who enjoys multitasking and is passionate about ensuring smooth daily operations across sales administration, inventory management, logistics coordination, and regulatory support.
Key Responsibilities:
1. Sales Administration
- Process sales orders, invoices, and delivery orders accurately using the SQL system.
- Coordinate with the sales team regarding pricing, order status, delivery schedules, product availability, and customer requirements.
- Maintain accurate documentation for all sales transactions and follow up on outstanding orders and customer payments.
2. Warehouse Management
- Oversee the receiving, storage, and issuance of inventory while maintaining accurate inventory records and optimal stock levels in accordance with company standards.
- Conduct periodic stock counts and reconcile inventory discrepancies.
- Maintain warehouse cleanliness and ensure compliance with safety regulations.
3. Logistics & Distribution
- Liaise with internal departments to coordinate deliveries with transport providers and courier services.
- Prepare delivery orders, packing lists, and shipping documentation.
- Track shipments to ensure timely delivery to customers.
- Ensure compliance with transportation and handling regulations for medical products.
4. Regulatory & ePerolehan Support
- Prepare and submit regulatory documentation, including ePerolehan submissions and other regulatory requirements, where applicable.
- Maintain accurate records and ensure all product documentation complies with the requirements of the relevant regulatory authorities (e.g., the Medical Device Authority (MDA)).
- Coordinate with regulatory authorities and internal departments regarding submissions, approvals, and updates.
Requirements:
- Diploma/Degree in Business Administration, Logistics, Supply Chain, or related field
- Minimum 1–3 years of experience in sales admin, warehouse, or logistics (medical industry preferred)
- Knowledge of regulatory submission processes is an advantage
- Proficient in Microsoft Office and ERP systems
- Strong organizational and multitasking skills
- Good communication and coordination abilities
- Attention to detail and compliance awareness
Preferred Skills:
- Experience in medical devices or pharmaceutical environment
- Understanding of inventory control systems
- Familiarity with regulatory requirements (e.g., MDA, MOH guidelines)
- Ability to work under pressure and meet deadlines
