About the role
The Senior Executive, Administration is responsible for supporting the Administration Managers to ensure smooth operation of the company's administrative functions and providing efficient office and facility management.
Key Responsibilities:
- Plan and coordinate administrative procedures and systems to streamline processes and enhance efficiency.
- Oversee day-to-day administrative functions. Ensure effective office operations, equipment and facilities management.
- Ensure adherence to company policies and regulatory requirements related to administrative functions, business licenses, quit rent, assessments, insurance, utilities and roadtax renewals, SOP’S and audits.
- Facilitate smooth and effective communication within the company to support business operations.
- Provide excellent office services including staff support, canteen facilities, general waste management, laundry management and maintaining office hygiene.
- Monitor and manage office supplies inventory, including procurement within budgetary constraints.
- Assist in managing relationships with suppliers for services including but not limited to security, cleaning, catering, water purifier maintenance, building/office tenancy agreements, telco providers and pest control.
- In charge in daily meal plans and ordering system at Novugen legal entities.
- Coordinate and facilitate business conferences, plant visits/walks for internal and external parties in collaboration with the cross-functional teams.
- Support the company’s fleet management process, corporate account for courier and logistics providers. These include corporate vehicles, petrol cards, TnGo, drivers’ schedule, third party logistics (Grab, Lalamove, FedEx, DHL, etc)
- Assist in onboarding new hires (e.g. business & access cards, etc), offboarding, organizing and supervising company engagement events and activities
- Collaborate with the IT department to coordinate IT and telecommunications services.
- Oversee timely maintenance and repair of office equipment and infrastructure.
- Assist in implementing and maintaining an effective document management system.
- Help develop and maintain administrative policies and procedures.
- Prepare reports and presentations on administrative activities for in charge areas
- Verification of admin related invoices / expenses. Coordinate with the finance department for accurate processing of invoices, reimbursements, and financial reports.
- Facilitate training and development sessions for the administrative team and third-party workers (e.g. cleaner, lab boy, packer, process assistants, security, gardener, etc) on best practices and new technologies.
- Support in conducting trainings and orientation briefings to new hires
- Any other ad hoc tasks assigned by the management
About you
- Diploma, Bachelor’s degree or equivalent in the field of Business Administration/Management.
- 4 years of experience in general administration functions in Good Manufacturing Practices (GMP) environment.
- Has understanding of procurement and knowledge of SAP system.
- Demonstrated strong coordination and collaboration skills through effective teamwork and clear communication.
- Strong team management and multitasking abilities.
- Detail-oriented with strong problem-solving and cost management mindset.
- High level of integrity and professionalism.
- Adaptable to changing priorities and able to manage multiple stakeholders effectively.
- For plant administration, must be willing to work in Bandar Enstek, Negeri Sembilan.
