Job Summary:
We are seeking for an experienced and detail-oriented individual to manage end-to-end purchasing activities. This role is responsible for sourcing suppliers, negotiating competitive pricing, ensuring timely delivery of goods and services, and maintaining accurate procurement records. The ideal candidate is organized, analytical, and capable of working independently to support efficient and cost-effective procurement operations.
Key Responsibilities:
Maintain and update purchasing records, pricing, and supplier data in the system.
Source, evaluate, and manage vendors to ensure reliable supply of goods and services.
Prepare and issue Purchase Orders (PO) and track outstanding orders.
Verify delivery orders and invoices against purchase orders (items, quantity, pricing).
Coordinate closely with suppliers to ensure timely delivery schedules.
Maintain proper procurement documentation and filing systems.
Monitor and update vendor database and sourcing options.
Support continuous improvement in procurement processes.
Perform ad hoc tasks as assigned by superior.
Job Requirements:
Minimum SPM/STPM or Professional Certificate (Diploma preferred).
At least 3 years of experience in procurement or a related field.
Familiarity with UBS/ERP systems, Microsoft Excel, and Word.
Strong communication and interpersonal skills.
Able to work independently, with good analytical and problem-solving skills.
Proficient in English and Bahasa Malaysia (spoken and written).
Mandarin or other local dialects is an added advantage.
Key KPIs & Success Metrics
Cost Savings: Achieve cost reductions through negotiation and supplier comparison (target: 3–8% annually).
On-Time Delivery: Ensure ≥95% of orders are delivered on schedule.
Order Accuracy: Maintain ≥98% accuracy in PO, invoices, and delivery matching.
Supplier Performance: Develop and maintain a reliable vendor base (measured by quality, pricing, and delivery consistency).
Process Efficiency: Reduce procurement cycle time and improve turnaround time for Purchase Orders.
Data Accuracy: Ensure all procurement records and pricing data are consistently updated and error-free.
