Key Responsibilities:
Foreign Worker Management
- Manage the end-to-end administration of foreign workers, including new quota applications, Calling Visa/VDR, FOMEMA, PLKS/permit renewal, levy, insurance, passport renewal, and other related immigration documentation.
- Liaise with relevant government authorities and agencies, including Immigration Department, Labour Department, Ministry of Human Resources (MOHR), Ministry of Home Affairs (MOHA), NOF, FWCMS and MYEG, on foreign worker-related matters.
- Liaise with foreign worker recruitment agencies on recruitment, documentation, applications, renewals, worker placement and other employment-related matters.
- Prepare, submit and follow up on documents and applications required by government agencies and relevant authorities, including arrangements for payments, FOMEMA, insurance and permit-related matters.
- Coordinate the arrival, registration, clearance and deployment of new foreign workers, including airport collection at KLIA and transportation to the respective branch or workplace.
- Register newly arrived foreign workers and update their employment and permit information in the i-Assist (SOCSO) system.
- Register foreign workers with KWSP (EPF) and assist with relevant withdrawal procedures upon completion or termination of employment, where applicable.
- Manage income tax registration for newly arrived foreign workers and provide the necessary support for annual tax filing.
- Coordinate and monitor FOMEMA appointments, medical examinations and related follow-up actions for foreign workers.
- Monitor and manage the renewal status and expiry dates of passports, permits, PLKS, levy, insurance and other relevant documents to ensure timely renewal and compliance.
- Assist in the foreign worker clearance and exit process at KLIA, including the necessary documentation and coordination with relevant parties.
- Manage foreign worker hostel/accommodation administration, including conducting monthly inspections to ensure compliance with company requirements and applicable standards.
- Prepare and maintain foreign worker-related documents, including offer letters, employment contracts, contract extensions, deduction letters, salary increment letters, exit documentation, management memos and other related correspondence.
- Maintain an accurate and up-to-date foreign worker database, personnel records and documentation, ensuring proper filing, confidentiality and easy retrieval of records.
- Manage contracts, agreements and other administrative documentation relating to foreign workers and ensure compliance with company policies and applicable regulations.
- Attend to employee inquiries, grievances and employment-related disputes, and coordinate appropriate action in accordance with labour laws, company policies and government requirements.
- Monitor and ensure all foreign worker administration activities comply with applicable immigration, employment, labour and government regulations.
- Perform other administrative and foreign worker-related duties as assigned by Management from time to time.
Requirements:
- Minimum 3 years of relevant experience in Human Resources, preferably with hands-on experience in foreign worker management.
- Candidates must possess at least a Bachelor's Degree in Human Resources, Management or equivalent.
- Experience in handling foreign worker management, immigration, work permits, FOMEMA, levy, insurance and government-related matters will be an added advantage.
- Experience in handling payroll for more than 200 employees will be an added advantage.
- Experience in foreign worker management will be an added advantage for the Foreign Worker Division.
- Experience in recruitment and manpower management will be an added advantage for the Recruitment Division.
- HR Generalists are encouraged to apply for relevant HR divisions.
- Pleasant personality with good interpersonal, communication, coordination and problem-solving skills.
- Able to communicate and liaise effectively with government agencies, recruitment agencies, foreign workers and internal departments.
- Good organizational skills with the ability to manage multiple applications, deadlines and documentation simultaneously.
Pay: RM2,800.00 - RM3,000.00 per month
