任职资格

1. Accounts Review & Supervision

  • Review daily accounting work performed by account/admin staff.

  • Check supplier invoices, customer invoices, payment vouchers, receipts, journal entries, and supporting documents.

  • Ensure all transactions are recorded correctly and posted into the accounting system on time.

  • Review accounts payable, accounts receivable, bank reconciliation, and general ledger entries.

  • Guide and supervise the account/admin team to ensure accuracy and proper follow-up.

  • Identify mistakes, missing documents, wrong postings, or unusual transactions and take corrective action.

  • Ensure all accounting records are properly filed and traceable.

2. Monthly Financial Reporting to Management

  • Prepare and present monthly finance and accounts reports to the boss / management.

  • Report the company’s monthly sales, collection, payment, expenses, cash flow, debt, and financial movement.

  • Highlight major cost changes, abnormal expenses, overdue payments, cash flow pressure, and financial risks.

  • Provide financial summary and explanation in a clear and easy-to-understand format.

  • Compare current month performance against previous month, budget, or target.

  • Prepare action points and recommendations for management decision-making.

3. Cash Flow & Payment Planning

  • Monitor company cash flow movement and bank balances.

  • Prepare weekly or monthly cash flow forecast.

  • Review incoming collections and outgoing payments.

  • Plan payment priority for suppliers, loans, rental, salary, utilities, tax, and statutory payments.

  • Ensure payments are made according to approval and company cash flow condition.

  • Alert management in advance if cash flow shortage or payment risk is expected.

  • Support boss in arranging payment schedules and financial commitments.

4. Accounts Payable & Supplier Control

  • Review supplier aging and payment schedule.

  • Ensure supplier invoices are checked against PO, DO, GRN, and supporting documents.

  • Verify supplier statement of account and reconcile any differences.

  • Monitor due dates and avoid duplicate or unauthorized payments.

  • Liaise with suppliers when account issues or statement differences arise.

  • Ensure proper approval is obtained before payment is processed.

5. Accounts Receivable & Collection Control

  • Review customer aging report and outstanding balances.

  • Monitor customer payment collection and follow up with the responsible team.

  • Ensure customer invoices, credit notes, debit notes, and receipts are properly issued.

  • Highlight overdue accounts and collection risks to management.

  • Work with sales/admin team to resolve customer billing disputes.

  • Provide regular collection updates to management.

6. External Liaison

  • Liaise with external auditors for yearly audit matters.

  • Liaise with tax agents for tax computation, tax planning, and tax submission matters.

  • Coordinate with company secretary for company statutory records, resolutions, and compliance matters.

  • Communicate with bankers for banking facilities, loan matters, account information, and financial documents when required.

  • Support communication with government bodies such as LHDN, EPF, SOCSO, EIS, Customs / SST where applicable.

  • Prepare and provide required documents to external parties accurately and on time.

7. Month-End & Year-End Closing

  • Oversee monthly closing process and ensure closing is completed within deadline.

  • Review sales, purchases, expenses, bank, stock value, COGS, accruals, prepayments, and journal entries.

  • Ensure all month-end schedules are prepared and reviewed.

  • Coordinate year-end audit preparation and ensure audit documents are complete.

  • Ensure financial records are ready for accountant, auditor, tax agent, and management review.

8. Cost Control & Financial Analysis

  • Review major company expenses such as COGS, packaging, salary, rental, utilities, delivery, repairs, maintenance, finance cost, and admin expenses.

  • Compare monthly expenses and highlight unusual increases.

  • Support management in identifying cost-saving opportunities.

  • Review department expenses and help improve spending control.

  • Prepare simple analysis on product cost, operating cost, and margin when required.

  • Provide financial insight to support business decisions.

9. Compliance & Internal Control

  • Ensure accounting procedures follow company policy and statutory requirements.

  • Maintain proper approval flow for payments, purchases, claims, refunds, and adjustments.

  • Improve finance documentation and internal control processes.

  • Ensure all supporting documents are complete before payment or posting.

  • Reduce risk of fraud, duplicate payment, missing documents, and wrong reporting.

  • Ensure finance records are organized for audit, tax, and management checking.

10. Team Guidance & Process Improvement

  • Guide account/admin staff on daily finance procedures.

  • Set proper workflow for invoice checking, payment preparation, collection follow-up, filing, and reporting.

  • Train staff to improve accuracy, responsibility, and deadline discipline.

  • Improve finance report formats and management review templates.

  • Work with other departments to improve finance-related procedures, such as PO, receiving, stock movement, sales order, invoice, and payment collection.
