An
Administrative Assistant
provides foundational operational, administrative, and clerical support to ensure an organization, department, or executive team runs efficiently.
Core Responsibilities
Office Administration & Operations:
Manage daily front-desk or departmental operations, maintain office supplies inventory, coordinate vendor services, and ensure common areas are well-maintained.
Scheduling & Calendar Management:
Coordinate internal and external meetings, manage complex calendars, organize room bookings, and send meeting invites and agendas.
Document Management & Correspondence:
Draft, format, and edit emails, letters, reports, and presentations. Organize paper and electronic filing systems to ensure easy retrieval and data accuracy.
Communication & Guest Handling:
Act as a primary point of contact for external phone calls, visitor greetings, and general email inquiries, routing requests to the appropriate team members.
Data Entry & Financial Support:
Input records into databases or CRM tools, process expense reports, handle basic billing/invoicing tracking, and compile routine status reports.
Travel & Event Coordination:
Arrange travel itineraries, flights, accommodation, and transportation for team members; assist in planning company events, workshops, or staff meetings.
Key Requirements & Qualifications
Education:
High school diploma or equivalent required; Associate’s or bachelor’s degree in business administration, Communications, or a related field is often preferred.
