Job Summary
We are seeking a professional and well-organised Front Desk Executive to manage the company's reception area and provide a professional first point of contact for clients, investors, business partners and visitors.
The role will also provide general administrative and office support, coordinate with internal departments and assist in maintaining a professional and well-functioning office environment.
Key Responsibilities
Front Desk & Reception
- Manage the company's reception area and ensure a professional and welcoming environment.
- Greet and assist clients, investors, business partners and visitors in a professional manner.
- Handle incoming calls, emails and general enquiries and direct them to the appropriate department.
- Coordinate visitor registration, meeting room arrangements and appointments.
- Notify relevant staff when visitors arrive and assist with visitor access where required.
- Manage incoming and outgoing mail, courier services and deliveries.
Client & Visitor Services
- Provide professional assistance to clients, investors and external business contacts visiting the office.
- Maintain a high standard of confidentiality when handling visitors and company information.
- Coordinate meeting arrangements for management, investment teams and other departments.
- Support client and investor meetings by preparing meeting rooms and ensuring required facilities are available.
Office Administration
- Provide day-to-day administrative support to the office and management.
- Assist with office supplies, stationery and inventory management.
- Coordinate with building management, cleaning, maintenance, security and other office service providers.
- Assist with office access cards, visitor passes and related administrative matters.
- Maintain proper records of office documents, deliveries and administrative activities.
- Support office events, meetings and internal activities when required.
Corporate & Internal Coordination
- Coordinate with HR, Finance, Operations, IT and other departments on general administrative matters.
- Assist with onboarding arrangements for new employees, including workstation, access card and basic office setup.
- Support internal meetings and management activities.
- Assist with preparation of administrative reports and records where required.
Confidentiality & Compliance
- Maintain strict confidentiality of client, investor, employee and company information.
- Follow company policies, security procedures and internal controls.
- Escalate any unusual visitor activity, security concerns or administrative issues to the appropriate person.
- Handle sensitive information in accordance with company confidentiality and data protection requirements.
Requirements
- Diploma or Bachelor's degree in Business Administration, Hospitality, Management or a related field preferred.
- 1–3 years of experience in front desk, reception, office administration, client services or a similar role.
- Experience in financial services, asset management, private funds, investment banking or professional services is an advantage.
- Professional appearance and strong customer-service orientation.
- Good verbal and written communication skills.
- Strong organisational and coordination skills.
- Proficient in Microsoft Office and common office communication tools.
- Able to handle multiple tasks and work in a fast-paced professional environment.
- High level of integrity, discretion and confidentiality.
