About the team

Administration Section (ADM) is part of the Hong Kong Branch. ADM is responsible for the wide range of general office administration and telecommunication duties for the Bank. Tele-communication duties including SWIFT, CHATS, FAX, etc. General office administration duties including reception service, tea service to customers, driver and messenger services, manage office security and safety, expatriate housing management, etc.

Role requirements

• To follow the policy & direction of the Dept, & to assist your superiors in accomplishing the Dept’s overall duties & responsibilities at all times
• To sort and deliver letters, packages, reports and other items to offices or departments within the bank, or to and from outside locations, & to assist in routine office administration functions, etc.
• To process payments and messages if necessary
• To handle external and internal enquiries
• To distribute communication messages
• To perform Fax Operation and message distribution
• To handle daily reconciliation of SWIFT and RTGS
• To prepare statistics and reports
• To perform document filing and record keeping
• To follow HOP & IOP for registration, deletion & modification of important article document and obtain approval from Section Head & to follow HOP & IOP for inspection of important documents regularly.
• To register and file the documents according to the defined procedure
• To control Authorized Signature List of other Banks/FI
• To conduct UAT for system enhancement or new business initiatives
• To perform ad-hoc tasks assigned by superiors
• When the Typhoon Signal no.8 or higher or Black Rainstorm Signal is hoisted or when special projects are undertaken, you are required to stay in or to return to the office until daily job is finished.

Essential Functions

• Be a team player, support office administration duties when necessary.
• Support various Communication Room duties on payment system control and related operations.
• Handle various means of tele-communication and administration, such as SWIFT, CHATS, FAX, etc., to ensure related operation transaction messages are released on time.

Competencies

• We are looking for an individual who is an excellent team player and has an innovative spirit.
• The individual should be able to handle work independently and judge priority among tasks and make practical scheduling and time management to complete tasks before deadline.
• The individual should be able to effectively negotiate with his/her external/internal counter-parties to executive regular tasks.
• He/she should respect for, and commit to high standards of business conduct and integrity.

Work experience, education and skills

• University degree or equivalent;
• 3 years experience in Banking Operation and 1 year experience in handling of SWIFT and CHATS payment dispatch, preferably with experience in Fax, Telex or Tele-communication Room operation;
• Proficiency in both spoken and written English and Cantonese;
• Independent, hardworking and willing to work under pressure;
• Willing to work overtime and on shift duty.
• Less experience candidate will be considered as Analyst.
