职位描述

岗位职责

Easy Europe Holidays specialises in quality escorted group tours. We are looking for an organised and resourceful Tour Operation and Procurement Specialist to coordinate tour arrangements and secure reliable suppliers at competitive rates.

You will manage the details that make a tour run smoothly—from sourcing hotels and negotiating terms to confirming services, checking operational schedules and supporting tours in progress. Your work will help protect tour profitability while delivering the comfort, quality and experiences our customers expect.

Key Responsibilities

1. Tour Planning and Operational Preparation

  • Prepare and maintain accurate tour operation sheets, supplier confirmations and booking records.
  • Review daily schedules, travel times, attraction opening hours, meal arrangements and hotel locations to ensure itineraries are practical and comfortable.
  • Identify potential issues early, recommend solutions and follow through on agreed changes.
  • Coordinate with internal teams and tour leaders to ensure arrangements are complete before departure.

2. Supplier Sourcing and Procurement

  • Source and compare hotels, restaurants, coaches, guides, attractions and other ground services.
  • Assess suppliers based on quality, location, suitability for groups, reliability and value.
  • For hotels, review room quality, recent renovations, coach access, breakfast and guest feedback.
  • Recommend suitable alternatives when preferred suppliers are unavailable, overpriced or below expectations.
  • Build and maintain productive relationships with hotels, destination management companies and other suppliers.

3. Negotiation and Booking Management

  • Request quotations and negotiate rates, complimentary arrangements, payment schedules, cancellation terms and group benefits.
  • Review quotations and contracts, ensuring agreed services and terms are clearly documented.
  • Secure bookings according to approved itineraries and budgets, and obtain written confirmation.
  • Track deposits, payment dates, room release deadlines, cancellation deadlines and booking changes.
  • Update suppliers on rooming lists, passenger numbers, dietary requirements and special requests.

4. Cost Control and Payment Coordination

  • Maintain accurate tour costings and compare quotations against budgets, previous bookings and alternative suppliers.
  • Highlight cost increases and explain their impact on tour margins.
  • Verify supplier invoices against confirmed services, rates and booking terms before submitting them for payment approval.
  • Track refunds, credit notes and outstanding supplier claims.
  • Seek better value while maintaining the required service standards.

5. Tour Support and Quality Improvement

  • Support tour leaders and internal teams in resolving supplier issues, service changes and unexpected disruptions.
  • Escalate significant issues promptly, with practical options and relevant cost implications.
  • Review customer and tour leader feedback to identify recurring problems.
  • Follow up with suppliers on service failures and agreed corrective action.
  • Keep supplier records and destination information updated to improve future departures.

Requirements

  • Relevant experience in outbound tour operations, travel procurement, hotel contracting or destination management.
  • Strong organisation skills, attention to detail and consistent follow-through.
  • Confident written and spoken English for communication with overseas suppliers.
  • Good negotiation skills and the ability to compare options beyond price alone.
  • Comfortable working with Google Sheets or Excel, costings and multiple booking deadlines.
  • Able to work independently, prioritise tasks and respond calmly when plans change.
  • Experience handling European group tours is an advantage.

What Success Looks Like

  • Tour arrangements are accurate, complete and confirmed on time.
  • Suppliers meet agreed quality standards and budgets.
  • Payment, release and cancellation deadlines are managed carefully.
  • Operational risks are identified early and resolved promptly.
  • Customer and tour leader feedback leads to measurable improvements.
