We are seeking an experienced Administrative Specialist / Assistant to support the establishment and operations of a new battery manufacturing facility. This role will work closely with management, government agencies, external consultants, China-based colleagues, and clients to ensure smooth coordination of administrative, regulatory, and project-related activities.
The ideal candidate should be proficient in Mandarin, have experience handling government-related applications and documentation, and be comfortable travelling to Singapore when required to support business and project activities.
Key Responsibilities1. Government & Regulatory Application Support
- Manage and coordinate applications for necessary permits, licenses, and approvals required for factory establishment and operations.
- Liaise with relevant government authorities, agencies, and external consultants on regulatory requirements.
- Prepare, review, and submit required documentation for factory opening, business operations, and compliance matters.
- Assist in coordinating environmental impact assessments (EIA) and other regulatory assessments.
- Track application progress and follow up with relevant parties to ensure timely approvals.
2. Project Coordination & Monitoring
- Support management in monitoring the progress of factory setup and development projects.
- Maintain project timelines, status reports, and follow-up action items.
- Coordinate communication between internal teams, contractors, consultants, and external stakeholders.
- Assist in arranging meetings, preparing reports, and documenting project updates.
3. Administrative & Management Support
- Provide daily administrative support to management and project teams.
- Handle documentation, filing, records management, and official correspondence.
- Assist with scheduling meetings, travel arrangements, and coordination of business activities.
- Support the onboarding and coordination of China-based employees, visitors, and clients.
4. Mandarin Communication & China Team Coordination
- Act as a communication bridge between local teams and China colleagues/clients.
- Translate and coordinate business documents, emails, and communications when required.
- Assist China colleagues and clients during visits, including transportation arrangements and coordination.
5. Travel & Logistics Support
- Drive to Singapore when required to pick up and send China colleagues, clients, or business visitors.
- Coordinate transportation, accommodation, and local arrangements for overseas visitors.
- Support business trips and site visits.
6. HR & Employee Administration Support
- Assist with HR-related matters including employee documentation, onboarding, and administration.
- Support work permit, visa, and related employment applications.
- Maintain employee records and ensure compliance with local requirements.
- Provide support for HR processes during company expansion.
Pay: RM4,000.00 - RM9,000.00 per month
