Executive Assistant (CEO Office/Technology)
About the Role
We are looking for a highly organised, proactive, and commercially minded Executive Assistant to the CEO to work closely with the CEO in managing priorities, business opportunities, client relationships, and key projects.
This is more than a traditional administrative EA role. You will act as a key point of coordination between the CEO, clients, business partners, and internal teams, helping turn ideas and discussions into clear actions and ensuring important matters are followed through.
Key Responsibilities
- Manage the CEO’s calendar, meetings, travel, and day-to-day priorities.
- Prepare meeting materials, company information, research, and briefing notes for important meetings.
- Capture the CEO’s instructions and translate them into clear tasks, timelines, and follow-ups.
- Support the CEO in managing client relationships and business opportunities.
- Follow up with clients, suppliers, and business partners to ensure actions are completed.
- Coordinate with internal teams on research, proposals, quotations, contracts, and project deliverables.
- Conduct basic research on clients, markets, competitors, products, and potential business opportunities.
- Prepare business proposals, presentations, meeting minutes, and other commercial documents.
- Track key projects and ensure there is clear ownership, timelines, and follow-through.
- Proactively identify outstanding matters, potential delays, and areas requiring the CEO’s attention.
- Accompany the CEO for selected business meetings, events, and overseas travel when required.
Requirements
- Bachelor’s degree or above.
- Experience in Executive Assistance, CEO/Founder’s Office, Project Management, Consulting, Investment, International Trade, Business Development, or a related field.
- Strong organisational and coordination skills with excellent attention to detail.
- Good logical thinking and ability to organise and summarise information effectively.
- Able to turn ambiguous instructions into clear actions and deliverables.
- Proactive, resourceful, and comfortable working in a fast-paced and entrepreneurial environment.
- Strong sense of ownership and ability to work independently.
- Good stakeholder management and communication skills.
- Experience in defence, security, engineering, technology, supply chain, or commodities is an advantage.
- Willingness to travel when required.
