Job Summary

We are looking for a hands-on and organised Purchasing Assistant to manage purchase orders, opening stock purchases, store equipment arrangements and supplier delivery follow-ups for new Panas Express convenience store outlets. The main objective is to ensure all required products and equipment are delivered and ready before the store opening date.

Key Responsibilities

- Purchase Orders & Opening Stock: Prepare and issue purchase orders (POs) for the first stock order of new outlets, ensuring the required products and quantities are ordered on time.

- Store Equipment & Layout: Coordinate the arrangement, placement and setup of store equipment, including chillers, freezers, shelves and other fixtures according to the approved store layout.

- Supplier Coordination: Liaise with suppliers to confirm product availability, order quantities, pricing and delivery schedules.

- Delivery Follow-up: Actively chase suppliers and delivery teams to ensure products and equipment arrive according to the opening timeline.

- Opening Preparation: Track the status of purchase orders, stock deliveries and equipment delivery to ensure everything is ready before the store opens. Manage & coordinate grand opening ceremony for selected outlets.

- Cross-Department Coordination: Work closely with Renovation, New Setup, IT and other relevant teams to resolve setup issues and avoid opening delays.

- Documentation: Maintain accurate records of purchase orders, delivery status, supplier information and outstanding items.

- Problem Solving: Follow up on delayed deliveries, missing items, incorrect quantities and other issues that may affect the store opening schedule.

Requirements

- Fresh graduates are welcome to apply.

- Good coordination, communication and follow-up skills.

- Basic knowledge of Microsoft Excel and purchase order processing.

- Organized, detail-oriented and able to manage multiple tasks simultaneously.

- Proactive and persistent in following up with suppliers to meet deadlines.

- Willing to travel to new outlet locations when required.

- Experience in retail, FMCG, purchasing or store setup is an advantage.
