Position Overview
The Payroll Specialist is responsible for supporting the end-to-end payroll processing for JLL's Malaysia operations, ensuring accurate and timely delivery of payroll services while maintaining compliance with local statutory requirements and company policies.
Key Responsibilities
Payroll Processing & Administration
Process monthly payroll for Malaysia employees, ensuring accuracy in salary calculations, deductions, allowances and benefits
Manage payroll inputs including new hires, terminations, salary changes, leaves, overtime and other payroll-related transactions
Verify and validate payroll data before processing to ensure accuracy and compliance
Process off-cycle payments, bonuses, commissions and other ad-hoc payments as required
Maintain accurate employee payroll records and documentation
Compliance & Statutory Requirements
Ensure compliance with Malaysian statutory requirements including EPF (Employees Provident Fund), SOCSO (Social Security Organization), EIS (Employment Insurance System) and PCB (income tax deductions)
Prepare and submit monthly statutory contributions and reports within required deadlines
Support year-end tax filing processes including EA forms and related documentation
Stay updated on changes to Malaysian payroll legislation and implement necessary adjustments
Reporting & Analytics
Prepare monthly payroll reports for management review including payroll summaries, cost center reports and variance analysis
Generate ad-hoc reports to support HR and Finance teams
Reconcile payroll accounts and liaise with Finance on GL postings and payroll-related queries
Employee Support & Query Resolution
Respond to employee payroll inquiries professionally and in a timely manner
Provide guidance on payroll policies, procedures and statutory matters
Support employees with payslip access and payroll-related system navigation
Process Improvement & System Management
Identify opportunities to streamline payroll processes and improve efficiency
Support payroll system upgrades, testing and implementation of new functionality
Maintain payroll documentation including procedures, guidelines and reference materials
Qualifications & Experience
Required:
Bachelor's degree in Human Resources, Accounting, Finance or related field
Minimum 2-3 years of payroll processing experience in Malaysia
Strong understanding of Malaysian payroll statutory requirements (EPF, SOCSO, EIS, PCB)
Proficiency in payroll systems and MS Excel (intermediate to advanced level)
Strong numerical accuracy and attention to detail
Preferred:
Experience with HRIS/payroll systems (Workday, SAP or similar platforms)
Knowledge of Malaysian Employment Act and labor regulations
Professional certification in payroll or HR
