  • Oversee onboarding and orientation processes to ensure a smooth and effective integration of new employees.
  • Monitor recruitment progress, maintain accurate recruitment records, and provide regular updates on hiring status and recruitment performance.
  • Identify opportunities to improve recruitment efficiency, candidate experience, and hiring quality.

2. Payroll Management & HR Operations

  • Independently manage and oversee monthly payroll processing, ensuring accuracy, confidentiality, and timely salary disbursement.
  • Ensure accurate calculation, submission, and payment of statutory contributions and deductions, including EPF, SOCSO, EIS, and PCB/MTD.
  • Manage employee lifecycle administration, including employment contracts, confirmation, promotions, transfers, resignations, and exit procedures.
  • Oversee attendance, leave administration, employee records, HR documentation, and personnel file management.
  • Prepare and analyze HR reports covering headcount, payroll, turnover, attendance, and other key HR metrics to support management decision-making.
  • Maintain the accuracy and integrity of HR systems and employee data.

3. Employee Relations & Engagement

  • Act as a trusted HR partner and primary point of contact for employee relations matters, providing guidance to employees and management on HR policies and procedures.
  • Handle employee grievances, disciplinary matters, investigations, and performance-related issues in a fair, professional, and consistent manner.
  • Advise managers on employee management, workplace conduct, conflict resolution, and the appropriate application of HR policies.
  • Develop and implement employee engagement initiatives that promote a positive workplace culture, employee satisfaction, and retention.
  • Support internal communications and employee activities to strengthen collaboration and organizational engagement.

4. Performance Management & Talent Development

  • Coordinate and manage the performance appraisal cycle, including KPI setting, performance reviews, confirmation assessments, and performance improvement plans.
  • Work with department heads to identify performance gaps, training needs, and employee development opportunities.
  • Develop and coordinate training and development initiatives to enhance employee capabilities and organizational effectiveness.
  • Maintain training records and evaluate the effectiveness of learning and development programs.
  • Support talent development, succession planning, and employee retention initiatives where required.

5. HR Policy, Compliance & Risk Management

  • Ensure HR practices comply with applicable Malaysian employment legislation, statutory requirements, and internal company policies.
  • Keep abreast of changes in employment laws and regulatory requirements, assess their impact, and recommend necessary updates to HR policies and practices.
  • Review, develop, and implement HR policies, SOPs, employee handbooks, and employment documentation to ensure consistency and compliance.
  • Manage HR-related compliance matters, documentation, audits, and internal reviews, ensuring records are complete and up to date.
  • Identify potential HR risks and recommend appropriate measures to mitigate compliance and employee relations issues.

6. HR Strategy & Process Improvement

  • Work closely with management to align HR initiatives with business objectives and organizational needs.
  • Identify opportunities to streamline HR workflows, strengthen internal controls, and improve operational efficiency.
  • Lead or support HR projects related to organizational development, employee experience, workforce planning, and HR system implementation.
  • Provide management with HR insights, workforce reports, and recommendations to support people-related decisions.
  • Take ownership of HR operations and proactively resolve issues with minimal supervision.
