Job Description:
The Head of Purchasing is responsible for the end-to-end procurement strategy of the organization. This executive role ensures the acquisition of goods, materials, and services at the optimal balance of cost, quality, and reliability. The role oversees supplier relationship management, contract negotiation, supply chain risk management, and alignment of procurement activities with the company’s operational goals and ESG (Environmental, Social, and Governance) standards.
2. Key Responsibilities
A. Strategy & Leadership
- Strategic Sourcing: Develop and implement a long-term procurement strategy that supports the company’s growth, innovation, and operational plans.
- Policy Development: Establish and enforce purchasing policies, procedures, and code of conduct to ensure compliance, transparency, and ethical sourcing.
- Departmental Leadership: Lead, mentor, and develop the procurement team fostering a culture of continuous improvement and high performance.
- Cross-Functional Collaboration: Partner closely with Operations, Finance, R&D, and Sales to forecast needs, align on budgets, and ensure supply continuity.
B. Operational Procurement
- Category Management: Oversee the management of spend categories (e.g., raw materials, logistics, CAPEX) to leverage economies of scale.
- Tendering & Negotiation: Lead high-value, complex contract negotiations. Manage the RFI/RFP/RFQ process to secure favorable terms, pricing, and service levels.
- Cost Management: Drive cost reduction initiatives (cost avoidance, total cost of ownership) without compromising quality or delivery timelines.
C. Supplier & Risk Management
- Supplier Relationship Management (SRM): Develop strategic partnerships with key suppliers. Conduct regular business reviews to evaluate performance (quality, delivery, cost, innovation).
- Risk Mitigation: Identify single points of failure, geopolitical risks, and market volatility (commodity pricing). Develop contingency plans and diversify the supplier base to ensure business continuity.
- Quality Assurance: Collaborate with Quality Assurance to ensure all purchased materials meet regulatory and internal quality standards.
D. Financial & Compliance
- Budget Management: Manage the purchasing department budget and approve high-value purchase orders.
- Working Capital: Collaborate with Finance to optimize inventory levels and manage payment terms (Days Payable Outstanding - DPO) to improve cash flow.
- Contract Management: Ensure all supplier contracts are legally sound, mitigate liability, and are maintained in a central repository.
- Audit & Compliance: Ensure procurement activities comply with relevant regulations (anti-bribery, anti-corruption, industry-specific regulations).
3. Qualifications & Skills
- Education: Bachelor’s degree in Supply Chain Management, Business Administration, Engineering, or Finance. MBA or CSCP/CPSM certification is highly preferred.
- Experience: 10–15+ years of progressive experience in procurement, with at least 5 years in leadership role.
- Technical Skills: Proficiency in ERP systems (SAP) and advanced data analytics.

- Negotiation Mastery: Proven track record of high-stakes negotiation.
- Analytical Mindset: Ability to analyze complex data sets to drive decisions.
- Resilience: Ability to manage supply chain disruptions (crises management).
- Stakeholder Management: Ability to influence C-level executives and balance conflicting departmental needs.
5. Reporting Structure
- Reports to: Operation Director.
- Supervises: Sourcing Specialists, Procurement Analysts, Procurement Executive and Contracts Administrators.
