Head of Business Office

Reports to: Operations Manager

Role overview

Lead the hospital’s Business Office and manage the full patient revenue cycle, from registration and admission through billing, insurance claims and payment collection. The role is responsible for accurate billing, strong financial controls, efficient patient service and a capable front and back office team.

Key responsibilities

• Lead front office and back office teams covering registration, admissions, bed coordination, payments, billing, credit administration and insurance claims.
• Ensure bills and claims are accurate, completed on time and compliant with hospital and insurer requirements.
• Monitor collections, outstanding payments and revenue leakage; resolve issues and improve processes.
• Oversee cash controls, refunds, credit notes and financial reconciliation.
• Lead audits, revenue assurance reviews and corrective actions, including reviews of robotic surgery billing.
• Support hospital pricing and consultant fee governance.
• Track service and financial KPIs, prepare management reports and recommend improvements.
• Work closely with clinical teams, Finance, insurers and other departments to support a smooth patient journey.
• Coach team leaders and staff, plan staffing needs and improve Business Office systems and workflows.

Requirements

• Degree or Master’s qualification.
• At least 5 years of relevant experience in a hospital or healthcare business office, with strong knowledge of patient billing, insurance claims and revenue cycle management.
• Experience leading teams and managing front and back office operations.
• Sound understanding of financial controls, audits and hospital billing practices.
• Strong communication skills in English and Bahasa Malaysia.
• Comfortable using hospital information systems, billing systems and performance reports.
