Job Requirements

Education

§  Bachelor’s Degree in Business Administration, Marketing, Management, or related field.

 

Experience

§  Minimum 1–3 years of experience in sales administration or related role (fresh graduates may be considered).

§  Experience supporting a sales team in a fast-paced environment is an advantage.

Skills & Competencies

§  Strong organizational and multitasking skills.

§  High attention to detail and accuracy.

§  Good communication skills in English and Bahasa Malaysia.

§  Proficient in Microsoft Office (Excel, Word, PowerPoint).

§  Experience with ERP/CRM systems (e.g. BIZCORE) is an added advantage.

§  Able to work independently and under pressure.

岗位职责

Role Summary

The Sales Administrator provides administrative and operational support to the Sales team to ensure smooth sales processes, accurate documentation, timely order processing, and effective coordination between internal departments and customers.

Key Responsibilities

 

1. Sales Support & Coordination

§  Provide day-to-day administrative support to the Sales team.

§  Coordinate closely with Sales, Technical, Project, Finance, and Logistics teams to ensure smooth order fulfilment.

§  Act as the liaison between Sales and internal departments for sales-related matters.

2. Sales Documentation & Order Processing

§  Prepare and process sales quotations, proposals, invoices, delivery orders, and sales contracts accurately and timely.

§  Ensure all sales documentation complies with company policies and approval procedures.

§  Maintain proper filing (physical and digital) of all sales-related documents.

3. System & Data Management

§  Create and update sales orders, customer information, and project details in the company system (e.g. BIZCORE or CRM).

§  Ensure all sales data, product specifications, special requirements, and remarks are accurately captured in the system.

§  Generate basic sales reports for management review.

4. Customer & Internal Communication

§  Respond professionally to customer enquiries related to order status, documentation, and delivery schedules.

§  Follow up with internal teams on order progress and delivery timelines.

§  Ensure timely communication of changes or special requirements to relevant departments.

5. Sales Tracking & Reporting

§  Track sales orders, delivery status, and invoicing progress.

§  Assist in monitoring sales targets, order pipeline, and project timelines.

§  Prepare periodic sales and administrative reports as required.

6. Compliance & Process Improvement

§  Ensure compliance with ISO procedures, internal SOPs, and documentation standards.

§  Support internal and external audits by providing sales-related records.

§  Identify gaps or inefficiencies in sales administration processes and suggest improvements.

7. General Administrative Support

§  Assist in preparing sales presentations, meeting materials, and coordination of client meetings.

§  Support ad-hoc administrative tasks related to Sales Department operations.
