We are looking for a proactive and detail-oriented Administrative Executive to join our KL, Malaysia team. In this role, you will provide administrative and finance support to ensure the smooth day-to-day operations of the office. You will work closely with internal teams and external stakeholders to coordinate office administration, finance-related processes, statutory matters, and facilities management.
Your responsibilities will include:
Finance Support
- Process and record supplier invoices, staff expense claims, and payment requests accurately and in a timely manner.
- Assist with the preparation and issuance of customer invoices.
- Support payroll administration by maintaining payroll-related information, employee expense records, and coordinating statutory submissions and updates with relevant authorities (e.g. LHDN, PERKESO, EPF, SOCSO, EIS, where applicable).
- Monitor and coordinate the timely renewal of company insurance policies, Workmen's Compensation Insurance (WICA), licences, and other statutory registrations.
- Liaise with internal stakeholders and external agencies on finance and compliance-related administrative matters.
- Provide administrative support to the Singapore Finance team and perform other finance-related duties as assigned.
Administration & Office Support
- Manage day-to-day office administration, including office supplies, equipment, and facilities to ensure smooth operations.
- Maintain proper filing systems and accurate records for company documents, contracts, and correspondence.
- Assist with business licence applications, renewals, and regulatory submissions as required.
- Coordinate vehicle administration, including insurance, road tax, servicing, and related documentation.
- Serve as the primary point of contact for employees on general administrative matters.
- Coordinate travel bookings, accommodation, courier services, and other administrative arrangements when required.
- Support company events, meetings, and other internal activities.
- Provide general operational and administrative support and undertake other ad hoc duties as assigned.
Requirements:
- Diploma or Bachelor's degree in Business Administration, Finance, Accounting, Office Management, or a related discipline.
- Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Strong organisational and time management skills with the ability to manage multiple tasks and meet deadlines.
- A valid driving license would be advantageous.
- Proficiency in both English and Bahasa Malaysia (written and spoken) is preferred.
