Job Summary
The Human Resource PROTÉGÉ will receive structured on-the-job training in Human Resource Management while supporting the daily HR and administrative operations of the company's hospital food service contract. The trainee will gain practical exposure to recruitment, employee records, payroll administration, disciplinary processes, training coordination, attendance monitoring, and compliance with company policies, the Employment Act, and hospital operational requirements. Hospital foodservice operations are centrally managed and closely monitored to meet Ministry of Health standards.
Key Responsibilities
1. Recruitment & Onboarding
- Assist in advertising job vacancies on recruitment platforms.
- Screen resumes and shortlist candidates.
- Coordinate interview schedules.
- Contact candidates via phone, WhatsApp, and email.
- Prepare interview documents.
- Assist in reference checks.
- Prepare employment documents including:
- Letter of Employment
- Staff Information Form
- Confidentiality Agreement
- Acknowledgement Forms
- Coordinate onboarding for new employees.
2. Employee Records & HR Administration
- Maintain employee personal files.
- Update employee database.
- Ensure HR documents are complete and properly filed.
- Prepare confirmation, transfer, promotion, resignation and termination letters.
- Maintain confidentiality of employee information.
3. Attendance & Leave Administration
- Monitor daily attendance.
- Follow up on absenteeism and late attendance.
- Prepare attendance summaries.
- Assist in annual leave, medical leave and unpaid leave administration.
- Verify supporting documents.
4. Payroll Support
- Prepare monthly attendance for payroll processing.
- Verify overtime claims.
- Verify allowances.
- Check public holiday entitlement.
- Update employee payroll information.
- Assist Finance during salary preparation.
5. Employee Relations
- Assist with employee enquiries.
- Coordinate staff welfare programmes.
- Prepare disciplinary documents including:
- Warning Letters
- Show Cause Letters
- Counselling records
- Maintain disciplinary records.
6. HR Compliance
- Ensure HR documentation complies with:
- Employment Act 1955
- Company policies
- Hospital regulations
- Assist in internal HR audits.
- Monitor expiry of employment contracts.
- Assist in statutory documentation.
7. Training & Development
- Coordinate staff training schedules.
- Prepare attendance records.
- Maintain training database.
- Prepare certificates where required.
- Assist with orientation programmes.
8. General Administration
- Prepare HR reports.
- Prepare meeting minutes.
- Manage office filing system.
- Handle incoming correspondence.
- Coordinate with site management and Head Office.
- Perform other duties assigned by Management.

Requirements
- Diploma or Bachelor's Degree in:
- Human Resource Management
- Business Administration
- Office Management
- Management
- Psychology
- or related field
- Fresh graduates are encouraged to apply.
- Good communication skills in Bahasa Malaysia and English.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Good organisational and interpersonal skills.
- Willing to learn and work in a fast-paced hospital support services environment.

Working Hours
- Monday – Saturday: 8:00 AM – 5:00 PM
- Sunday & Public Holidays: As required by operational needs.

Pay: From RM2,000.00 per month
