Job Summary
The Accounts Executive is responsible for managing the company’s daily accounting activities, maintaining accurate financial records, monitoring project-related expenses, and supporting monthly financial reporting. The role requires close coordination with project teams, suppliers, subcontractors, clients, and internal departments to ensure all financial transactions are properly recorded and processed on time.
Key ResponsibilitiesAccounting and Financial Records
- Handle full or partial sets of accounts, including accounts payable, accounts receivable, general ledger, and bank reconciliation.
- Record and maintain accurate financial transactions in the accounting system.
- Prepare journal entries, payment vouchers, receipt vouchers, and other accounting documents.
- Maintain proper filing and documentation of invoices, receipts, payment records, and supporting documents.
- Assist with month-end and year-end closing activities.
Accounts Payable
- Verify supplier and subcontractor invoices against purchase orders, delivery orders, work completion records, and supporting documents.
- Prepare supplier and subcontractor payments according to the approved payment schedule.
- Monitor outstanding payments and reconcile supplier statements.
- Ensure retention sums, deductions, advances, and contra charges are accurately recorded.
Accounts Receivable
- Prepare invoices, debit notes, credit notes, and statements of account.
- Monitor client payments, progress claims, and outstanding receivables.
- Follow up on overdue payments and update the management on collection status.
- Maintain records of project billing, certified claims, and payment certificates.
Construction Project Accounting
- Monitor project costs, budgets, expenses, and cash flow.
- Track project-related purchases, subcontractor costs, labour costs, machinery expenses, and site expenses.
- Assist in preparing project cost reports and budget-versus-actual analysis.
- Coordinate with Project Managers, Quantity Surveyors, site personnel, and procurement teams to verify project expenses.
- Maintain records of retention sums, performance bonds, advance payments, and project-related deposits.
- Assist in monitoring work-in-progress and project profitability.
Payroll and Statutory Matters
- Assist with payroll processing, staff claims, allowances, overtime, and deductions when required.
- Assist with statutory submissions and payments, including EPF, SOCSO, EIS, PCB, SST, and other applicable requirements.
- Support the preparation of documents required for audits, taxation, and statutory reporting.
Reporting and Compliance
- Prepare monthly financial reports, cash flow updates, ageing reports, and management reports.
- Assist with annual audits, tax submissions, and financial reviews.
- Ensure accounting records comply with company policies, accounting standards, and relevant regulations.
- Support the Finance Manager in preparing budgets and financial forecasts.
- Perform other accounting and administrative duties assigned by management.
Job Requirements
- Diploma or Bachelor’s Degree in Accounting, Finance, Business Administration, or a related field.
- Minimum 2 to 3 years of relevant accounting experience.
- Experience in the construction, property development, engineering, or project-based industry is preferred.
- Familiar with project costing, progress claims, subcontractor payments, retention sums, and construction-related accounting.
- Knowledge of accounting software such as SQL Accounting, AutoCount, UBS, or similar systems.
- Proficient in Microsoft Excel, including formulas, PivotTables, and financial reporting.
- Basic knowledge of Malaysian statutory requirements, taxation, SST, EPF, SOCSO, EIS, and PCB.
- Able to manage deadlines and handle multiple projects or company accounts.
- Strong attention to detail, accuracy, and confidentiality.
- Good communication, coordination, and problem-solving skills.
- Able to work independently with minimal supervision.
Pay: RM4,000.00 - RM5,000.00 per month
