JOB SUMMARY
The HR Executive cum Admin is responsible for managing day-to-day Human Resources and administrative functions to ensure smooth business operations. This role supports recruitment, employee relations, payroll coordination, office administration, compliance with Malaysian labour laws, and general administrative duties while maintaining a productive and organized workplace.
Key Responsibilities Human Resources
- Manage the full recruitment process, including job advertisements, candidate screening, interview coordination, and onboarding.
- Prepare employment-related documents such as offer letters, confirmation letters, transfer letters, warning letters, and resignation acceptance letters.
- Maintain and update employee personal files and HR records.
- Monitor employee attendance, leave records, overtime, and absenteeism.
- Coordinate payroll preparation by verifying attendance, claims, allowances, and deductions.
- Handle EPF, SOCSO, EIS, PCB, and other statutory matters.
- Ensure compliance with the Employment Act 1955 and other Malaysian labour regulations.
- Coordinate employee confirmation, probation reviews, contract renewals, and exit processes.
- Support employee engagement activities and company events.
- Handle employee inquiries regarding HR policies and procedures.
- Assist in developing and implementing HR policies, SOPs, and internal procedures.
Administration
- Manage daily office administration and ensure smooth office operations.
- Maintain office supplies, stationery, and pantry inventory.
- Liaise with vendors, suppliers, building management, and service providers.
- Coordinate company assets, office equipment, and maintenance schedules.
- Prepare purchase requisitions and monitor administrative expenses.
- Organize meetings, appointments, and company travel arrangements when required.
- Maintain proper filing systems for company documents.
- Handle incoming and outgoing correspondence, courier services, and document control.
- Assist management with ad-hoc administrative projects and reporting.
Requirements Education
- Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related field.
Experience
- Minimum 1–3 years of experience in Human Resources and Administration.
- Fresh graduates with relevant internship experience are encouraged to apply.
Skills & Competencies
- Good knowledge of Malaysian Employment Act and labour regulations.
- Familiarity with payroll processes and statutory submissions (EPF, SOCSO, EIS, PCB).
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information professionally.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Experience with HRIS systems is an added advantage.
- Able to work independently and as part of a team.
- Strong problem-solving and multitasking abilities.

Working Days: Monday – Friday (Alternate Saturday)
Employment Type: Full-Time
Salary Range: RM1,800 – RM3,500 (Depending on experience and qualifications)
Pay: RM1,800.00 - RM3,500.00 per month
