Job Description

Responsibilities

The Admin & Indoor Coordinator is responsible for managing procurement activities, administrative coordination, and project support functions within the Renewable Energy Department. The role ensures timely sourcing of materials, equipment, and services while maintaining proper documentation, supplier coordination, cost control, and administrative support to ensure smooth execution of renewable energy projects.


Key Responsibilities

Indoor Coordinator Responsibilities

  • Manage the procurement process for renewable energy projects, including Solar PV systems, electrical equipment, mechanical components, and project materials.
  • Source, evaluate, and negotiate with suppliers, vendors, and subcontractors to obtain competitive pricing and suitable solutions.
  • Prepare Request for Quotation (RFQ), purchase orders, and procurement documentation.
  • Review supplier quotations, technical specifications, and commercial terms.
  • Coordinate with Engineering and Project teams to ensure purchased materials comply with project requirements and specifications.
  • Monitor procurement schedules and ensure timely delivery of materials and equipment to project sites.
  • Maintain supplier database and establish good relationships with vendors.
  • Assist in cost comparison, price negotiation, and cost optimization initiatives.
  • Monitor purchase orders, delivery status, and outstanding items.
  • Coordinate with suppliers on delivery issues, replacement, warranty, and technical documentation.
  • Ensure procurement activities comply with company procedures and project requirements.


Administrative Responsibilities

  • Prepare, compile, and submit registration documents to relevant government agencies, clients, and organizations.
  • Maintain and keep and update company registration records, certificates, licenses, and approval documents.
  • Provide administrative support to the Renewable Energy Department and project teams.
  • Prepare and maintain project documentation, including purchase records, supplier documents, quotations, and correspondence.
  • Manage filing systems for procurement and project-related documents.
  • Assist in preparing reports, tracking project progress, and maintaining department records.
  • Coordinate meetings, prepare minutes, and follow up on action items when required.
  • Assist with project registration, permits, approvals, and documentation submission.
  • Support preparation of tender, project, and client submission documents.
  • Coordinate with internal departments such as Finance, HR, Engineering, and Project teams.
  • Perform general administrative duties and other tasks assigned by the Department Head or Management.


Job Requirements

  • Diploma or Bachelor's Degree in Business Administration, Procurement or related fields.
  • Minimum 2–5 years of experience in procurement, purchasing, administration, or project coordination.
  • Knowledge of procurement processes, vendor management, and purchasing documentation.
  • Good negotiation, communication, and coordination skills.
  • Proficient in Microsoft Office applications and SQL system.
  • Strong organizational skills with attention to detail and accuracy.
  • Able to manage multiple tasks, prioritize work, and meet deadlines.
  • Ability to work independently and support a fast-paced project environment.
