Job Description

Responsibilities

Love people, food, and getting things done? Join us.

The Hey Co Group is a homegrown Singapore F&B group with brands across cafes, restaurants, bars. We're growing fast, and we're looking for a hands-on HR Executive to keep our people operations running smoothly across every outlet.

This is a true generalist role with real ownership — you'll touch everything from hiring and payroll to work passes and staff support, working directly with our founder and outlet managers. If you like variety, moving quickly, and building things properly, you'll fit right in.

Key Responsibilities

1. Recruitment & Talent Acquisition

  • Own end-to-end recruitment across all brands — service crew, kitchen staff, outlet supervisors/managers, and HQ roles.
  • Write and post job ads on Indeed, MyCareersFuture, social media, and other channels; refresh and optimise listings to improve response rates.
  • Source actively through job portals, referrals, foreign-worker agencies, and talent networks.
  • Screen resumes, conduct phone/initial interviews, and shortlist candidates for outlet/ops leads.
  • Coordinate interview scheduling, reference checks, and follow-ups.
  • Prepare and issue employment offers and contracts; negotiate within approved salary bands.
  • Track recruitment metrics — time-to-fill, cost-per-hire, source effectiveness — and report on hiring pipeline health.
  • Build a ready talent pool for high-turnover, high-volume frontline roles.

2. Onboarding & Offboarding

  • Run smooth onboarding: contracts, documentation, orientation, uniform/equipment setup, and first-week check-ins.
  • Ensure new hires are set up in payroll, HRIS, and scheduling systems before Day 1.
  • Manage offboarding: resignation processing, clearance, final pay, and exit interviews.
  • Analyse exit-interview trends and flag retention risks to management.

3. Payroll & Benefits Administration

  • Process accurate, on-time monthly payroll for full-time, part-time, and shift-based staff, including overtime and shift allowances.
  • Administer CPF contributions, income tax (IR8A/IR21), leave, medical claims, and benefits.
  • Maintain accurate employee records and keep HRIS/payroll data clean and current.
  • Handle payroll queries from staff professionally and promptly.

4. Work Passes & Compliance

  • Manage the full work pass lifecycle with MOM — applications, renewals, cancellations, and appeals (Work Permit, S Pass, EP).
  • Monitor foreign-worker quotas, levies, and Dependency Ratio Ceiling across outlets.
  • Ensure full compliance with the Employment Act, MOM regulations, CPF, and relevant licensing.
  • Maintain audit-ready records; own and keep current the employee handbook, HR policies, and SOPs.

5. Employee Relations & Support

  • Be the first point of contact for staff queries on pay, leave, benefits, and policies across outlets.
  • Support outlet managers on day-to-day people matters, disciplinary processes, and grievance handling.
  • Help foster a positive, consistent culture across all brands.

6. Training & Development

  • Coordinate training schedules and records — service standards, food safety/hygiene (SFA/WSQ), and onboarding.
  • Track certification expiry and ensure outlets stay compliant.
  • Support identification of internal talent for progression.

7. HR Reporting & Analytics

  • Prepare regular HR reports for management: headcount, turnover/attrition, labour cost %, recruitment pipeline, and leave/absence trends.
  • Track manpower costs against outlet targets to support profitability goals.
  • Maintain HR dashboards and provide data-driven insights to guide decisions on hiring, staffing, and retention.
  • Compile monthly and ad-hoc reports as required by the founder and ops team.

What We're Looking For

  • 2–4 years of HR generalist experience, ideally in F&B, retail, or hospitality (multi-outlet a strong plus).
  • Solid working knowledge of the Singapore Employment Act, MOM work pass framework, and CPF.
  • Hands-on payroll processing experience; confident with HRIS/payroll software and strong Excel skills (reporting, pivot tables).
  • Proven recruitment ability, especially for high-volume frontline roles.
  • Comfortable producing clear HR reports and working with data.
  • Organised, meticulous, and able to juggle multiple outlets and deadlines.
  • Warm and approachable with frontline staff; clear and professional with management.
  • Self-driven and comfortable in a fast-paced, growing environment.
  • Willing to travel between outlets across Singapore.
  • Diploma in HR, Business, or related field — or equivalent hands-on experience.

Bonus points for: high-volume F&B/hospitality hiring, food-safety/licensing familiarity (SFA), payroll software proficiency (e.g. Info-Tech, Talenox, JustLogin), or IHRP certification.

Why Join HCG

  • Full ownership of the HR function as our sole HR lead — you run the show, with direct access to the founder.
  • Rare breadth: touch every part of HR across 8 F&B brands and genuinely shape how it's built.
  • A fast-moving, entrepreneurial team that rewards initiative, autonomy, and grit.
  • A strong platform to grow into an HR Manager role as the group scales.
