Job Description
1. Recruitment & Selection
- Manage end-to-end recruitment activities.
- Prepare and post job advertisements on recruitment platforms.
- Screen resumes and shortlist suitable candidates.
- Arrange interviews with hiring managers.
- Conduct reference and background checks.
- Prepare offer letters and employment contracts.
- Coordinate onboarding and orientation programmes.
- Maintain recruitment reports and vacancy status.
2. Payroll Administration
- Prepare monthly payroll accurately and on time.
- Verify attendance, overtime, leave, allowances and deductions.
- Process salary adjustments, increments and bonus payments.
- Ensure statutory deductions (EPF, SOCSO, EIS, PCB) are correctly processed.
- Prepare payroll reports and reconciliation.
- Maintain confidentiality of payroll information.
3. HR Administration
- Maintain employee personal files and HR records.
- Update HRIS/database.
- Prepare employment confirmation, transfer, promotion and disciplinary letters.
- Monitor probation confirmations.
- Issue employee letters and certificates as required.
- Prepare HR reports and manpower statistics.
4. Employee Relations
- Address employee enquiries regarding HR matters.
- Support disciplinary investigations and domestic inquiries.
- Assist in handling grievances and employee complaints.
- Promote positive employee engagement activities.
- Ensure compliance with company policies.
5. Performance Management
- Coordinate probation and annual performance appraisals.
- Monitor KPI and appraisal completion.
- Assist managers in implementing performance improvement plans.
- Prepare performance analysis reports.
6. Learning & Development
- Coordinate internal and external training programmes.
- Maintain employee training records.
- Identify training needs with department heads.
- Monitor training effectiveness.
- Coordinate HRD Corp claims where applicable.
7. Compensation & Benefits
- Administer employee medical claims and benefits.
- Monitor annual leave, medical leave and other leave records.
- Assist in salary benchmarking exercises.
- Coordinate employee insurance matters.
8. Statutory Compliance
- Ensure compliance with the Employment Act, Industrial Relations Act and other relevant legislation.
- Prepare documentation for government agencies.
- Handle EPF, SOCSO, EIS and Income Tax matters.
- Support labour office or statutory audits when required.
9. HR Policies & SOP
- Assist in developing and updating HR policies.
- Ensure HR SOPs are implemented consistently.
- Communicate HR policies to employees.
- Recommend process improvements.
10. Foreign Worker Administration (if applicable)
- Coordinate work permit renewals.
- Monitor passport validity and permits.
- Liaise with immigration, FOMEMA and external agencies.
- Maintain foreign worker records.
11. Employee Engagement
- Organise company events and staff activities.
- Coordinate employee recognition programmes.
- Support CSR initiatives.
- Conduct employee satisfaction surveys.
12. General Duties
- Prepare monthly HR reports and management reports.
- Support ISO, GMP and audit requirements.
- Maintain confidentiality of HR information.
- Perform any other duties assigned by the HR & Admin Manager or Management.
Job Requirement
Education
- Bachelor's Degree or Diploma in Human Resource Management, Business Administration or related field.
Experience
- Minimum 2–3 years of HR Generalist experience.
- Experience in payroll processing is an advantage.
Manufacturing or pharmaceutical industry experience is preferred
Pay: RM2,500.00 - RM3,500.00 per month
