We are currently seeking a proactive and organized Admin cum HR Executive to support our daily administrative operations and human resource functions.
Key Responsibilities:
>> Human Resource Management
Recruitment & Onboarding
- Collaborate with department heads to identify hiring needs, manpower planning, and recruitment requirements.
- Manage end-to-end recruitment activities including job postings, candidate screening, interview coordination, and communication with candidates.
- Prepare offer letters, employment contracts, and other HR-related documentation.
- Coordinate employee onboarding processes including orientation, workspace setup, employee tools, ID cards, uniforms, and required access arrangements.
Employee Records & HR Administration
- Maintain and update employee records, HR databases, and filing systems.
- Ensure accuracy, confidentiality, and proper documentation of employee information.
- Manage HR documentation including employment contracts, confirmation letters, HR letters, memos, and employee-related documents.
- Maintain proper records for audit and compliance purposes.
Performance Management
- Assist in monitoring employee performance, probation evaluations, and confirmation processes.
- Support the implementation of performance appraisal systems and employee KPI reviews.
- Guide managers in setting and reviewing employee goals and performance expectations.
- Coordinate feedback sessions and support continuous performance improvement initiatives.
Employee Relations & Engagement
- Provide support in handling employee enquiries, concerns, and workplace issues.
- Act as a liaison between employees and management to facilitate effective communication.
- Assist in conducting employee satisfaction surveys and engagement initiatives.
- Support employee recognition programs and internal engagement activities.
- Assist in investigations related to employee complaints, misconduct, and workplace disputes.
Training & Development
- Coordinate employee training programs and development initiatives.
- Assist in identifying training needs across departments.
- Manage training records and HRD Corp-related documentation where required.
HR Policy, Compliance & Disciplinary Management
- Develop, review, and update HR policies, procedures, and employee handbook in alignment with company objectives and employment regulations.
- Ensure compliance with labour laws, statutory requirements, and workplace standards.
- Assist in handling disciplinary matters including investigation, documentation, warning letters, and corrective actions.
- Maintain proper records of disciplinary actions and employee cases.
- Liaise with legal advisors or relevant authorities when required.
Payroll & Benefits Administration
- Support payroll processing by verifying attendance records, overtime hours, leave records, claims, and employee information.
- Prepare payroll-related summaries including claims, commissions, incentives, and employee adjustments.
- Respond to employee enquiries related to payroll, benefits, and statutory matters.
- Maintain accurate payroll records including employee movement, new hires, resignations, and salary changes.
- Assist in rewards management processes including increments, bonuses, and employee benefits.
- Manage statutory-related matters including EPF, SOCSO, EIS, PCB, HRD Corp claims, SOCSO claims, workmen compensation claims, and other related submissions.
Employee Offboarding
- Manage employee resignation and termination processes including exit interviews, clearance documentation, and asset return.
- Coordinate with relevant departments to ensure smooth employee transition.
>> Administrative Management
Office Administration
- Manage daily office administration and ensure smooth workplace operations.
- Handle office correspondence, documentation, filing systems, and record management.
- Maintain company records including contracts, policies, licenses, permits, and certifications.
- Manage digital subscriptions and ensure timely renewal of company licenses and services.
- Coordinate office supplies, assets, facilities, repairs, cleaning, and security matters.
- Maintain asset management records for office equipment and company property.
Communication & Coordination
- Act as a liaison between departments to ensure effective communication and coordination.
- Prepare reports, presentations, announcements, and internal communications.
- Coordinate meetings, appointments, company events, and logistics arrangements.
- Maintain updated company contact lists and administrative records.
Financial & Project Administration
- Manage petty cash and prepare expense reports for management review.
- Monitor office expenses and maintain proper financial records.
Qualifications:
- Bachelor’s Degree or Diploma in Human Resource Management, Business Administration, or related field.
- Minimum 2 years of experience in HR and administrative roles.
- Good knowledge of Malaysian employment practices, payroll processes, and statutory requirements.
- Experience in recruitment, employee relations, payroll support, and HR documentation.
- Proficient in Microsoft Office applications and HR systems.
- Strong organizational skills with excellent attention to detail.
- Good communication, interpersonal, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Able to work independently with minimal supervision.
Job Types: Full-time, Permanent
Pay: RM2,500.00 - RM2,900.00 per month
