JOB PURPOSE

To execute and coordinate the Company's Human Resource operations by ensuring efficient recruitment, employee lifecycle administration, training coordination, performance management support, payroll verification, statutory compliance, HR reporting, and employee relations in accordance with Company policies, Employment Laws, ISO 9001 Quality Management System, API Spec Q1 requirements, and established HR governance standards.

The Senior HR Executive acts as the operational lead within the HR department, ensuring HR activities are implemented accurately, efficiently, and within established timelines while supporting continuous improvement initiatives.

KEY RESPONSIBILITIES

1. Payroll Administration

  • Administer the monthly payroll process to ensure timely, accurate, and confidential salary processing.
  • Verify attendance records, overtime claims, allowances, deductions, and payroll-related information prior to payroll processing.
  • Prepare payroll reports and supporting documentation for verification and approval.
  • Process employee salary adjustments, bonus payments, final salary calculations, and other payroll transactions.
  • Coordinate statutory payroll submissions including EPF, SOCSO, EIS, PCB, and other applicable statutory contributions.
  • Prepare annual payroll documentation including EA Forms and CP8D submissions.
  • Maintain payroll records in accordance with Company document retention requirements.
  • Investigate and resolve payroll discrepancies in a timely manner.
  • Ensure payroll activities comply with internal controls, statutory requirements, and confidentiality obligations.

2. Statutory Compliance

  • Ensure timely and accurate submission of statutory contributions and reports to relevant government authorities.
  • Monitor changes to employment-related legislation and statutory requirements affecting payroll administration.
  • Maintain statutory records and supporting documentation for audit and regulatory purposes.
  • Liaise with relevant government agencies regarding payroll and employment-related matters.
  • Support the Human Resources Manager in ensuring compliance with applicable employment legislation and regulatory requirements.

3. Recruitment & Onboarding

  • Coordinate recruitment activities in accordance with approved manpower requirements.
  • Prepare and publish recruitment advertisements through approved recruitment channels.
  • Screen applications and coordinate interview arrangements.
  • Conduct preliminary candidate assessments and provide recruitment recommendations.
  • Prepare employment offers, employment contracts, and onboarding documentation.
  • Coordinate employee onboarding activities to ensure a positive employee onboarding experience.
  • Maintain recruitment records and monitor recruitment progress.
  • Support employer branding initiatives and recruitment activities as assigned.

4. Employee Administration

  • Maintain accurate, complete, and confidential employee personnel records.
  • Prepare employment-related documentation including appointment, confirmation, promotion, transfer, disciplinary, resignation, and separation letters.
  • Ensure all employee records are updated in accordance with document control requirements.
  • Maintain personnel files in compliance with Company policies and audit requirements.
  • Support periodic review of employee documentation to ensure completeness and accuracy.

5. Attendance & Leave Administration

  • Administer the Company's attendance and leave management system.
  • Verify attendance exceptions, overtime claims, and leave applications.
  • Ensure employee attendance records are accurate and updated within the HR Information System.
  • Coordinate with department heads to resolve attendance-related discrepancies.
  • Prepare attendance and overtime reports for management review.

6. Performance Management

  • Coordinate the implementation of the Company's performance management process.
  • Monitor probation confirmation schedules and performance appraisal timelines.
  • Track completion of Key Performance Indicator (KPI) evaluations.
  • Prepare performance management reports and supporting documentation.
  • Support the Human Resources Manager in maintaining performance management records.

7. Learning & Development Administration

  • Coordinate internal and external training programmes.
  • Register employees for training programmes and maintain training schedules.
  • Administer HRD Corp grant applications and reimbursement claims.
  • Maintain employee training records and competency matrices.
  • Prepare training reports and evaluate training participation.
  • Ensure training documentation complies with Company record control requirements.

8. Employee Relations

  • Respond to employee enquiries regarding HR policies and employment matters.
  • Support employee counselling, disciplinary investigations, and domestic inquiry processes.
  • Prepare disciplinary documentation in accordance with Company procedures.
  • Conduct employee exit interviews and compile exit analysis reports.
  • Monitor employee grievances and support timely resolution.

9. HR Reporting & Analytics

  • Prepare periodic Human Resource reports and dashboards covering headcount, recruitment, payroll, attendance, overtime, turnover, training, leave utilisation, and other HR performance indicators.
  • Ensure HR data is accurate, complete, and submitted within established reporting timelines.
  • Support analysis of HR metrics to facilitate management decision-making.

10. HR Documentation & Management System

  • Maintain controlled Human Resource documented information in accordance with the Company's document control procedures.
  • Ensure HR policies, procedures, forms, and templates remain current and properly controlled.
  • Maintain HR records required under ISO 9001:2015, API Spec Q1, statutory requirements, and Company policies.
  • Prepare Human Resource documentation and records required for internal and external audits.
  • Support implementation of corrective actions arising from audit findings within agreed timelines.
  • Contribute to the continual improvement of Human Resource processes and documentation.

Pay: RM3,200.00 - RM3,500.00 per month
