Job Summary
The Administration Executive (Plantation) is responsible for providing administrative and operational support to ensure the smooth running of plantation office activities. This role involves handling documentation, coordinating with estate and head office teams, maintaining records, preparing reports, and supporting daily administrative functions.
Key Responsibilities
- Manage day-to-day administrative operations of the plantation office.
- Maintain proper filing systems for documents, reports, permits, and correspondence.
- Prepare and submit monthly reports, attendance records, and other operational documents.
- Coordinate with estate managers, field supervisors, contractors, suppliers, and headquarters on administrative matters.
- Process purchase requisitions, purchase orders, invoices, and payment documentation.
- Monitor office supplies and arrange procurement when necessary.
- Assist in scheduling meetings, preparing meeting minutes, and following up on action items.
- Maintain employee records, leave applications, attendance, and other HR-related documentation.
- Handle incoming calls, emails, and official correspondence professionally.
- Support logistics arrangements, accommodation, transportation, and travel bookings when required.
- Ensure compliance with company policies, procedures, and document control requirements.
- Assist during audits by preparing and organizing the required documentation.
- Perform data entry and maintain accurate records in the company's systems.
- Provide general administrative support to the plantation management team.
- Carry out any other duties assigned by the Management.
Requirements
- Diploma or Bachelor's Degree in Business Administration, Management, or a related field.
- Minimum 2 years of administrative experience. Experience in the plantation, agriculture, or estate industry will be an added advantage.
- Proficient in Microsoft Office (Excel, Word, PowerPoint, and Outlook).
- Good organizational, time management, and multitasking skills.
- Strong communication and interpersonal skills.
- Able to work independently with minimal supervision.
- Detail-oriented with good record-keeping and documentation skills.
- Possess a positive attitude and willingness to support operational needs.
- Possess a valid driving licence and willing to travel to plantation sites when required.
Pay: RM2,500.00 - RM3,200.00 per month
