Job Description: Instrumentation & Survey Project Coordinator
A) Before Field Work
Pre work Preparation
· Confirm the monitoring schedule, monitoring frequency and quantity of monitoring trip
· Brief the site team and verify that all required instruments, equipment, tools, and materials are prepared for installation or monitoring works.
· Verify the calibration validity and operational condition of all instruments and equipment.
· Conduct site visits, where necessary, to verify monitoring locations, site access, and working conditions.
Paperwork Preparation
· Obtain the latest approved drawings, instrument information, and project documents from the Project Manag
· Update the project monitoring schedule
· Ensure all necessary permits, approvals, inductions, and access requirements are in place prior to site work.
B) During Field Work
- Installation and monitoring
a) Ensure all installation and monitoring activities are carried out in accordance with the approved method statement, specifications, and project requirements
b) Ensure the site team submits completed and signed job sheets upon completion of site work
c) Verify that all field records, monitoring data, photographs, and installation details are complete and properly documented.
- Coordination
a) Coordinate with the site team to ensure work progresses according to the planned schedule
b) Report site issues, delays, damaged instruments, or abnormal monitoring results to the Project Manager immediately
c) Update the monitoring schedule and inform relevant parties of any changes.
C) After Field Work – Reporting
· Ensure installation reports and monitoring reports are prepared within three (3) working days after completion of field works.
· Ensure monitoring data is processed, checked, and entered into the reporting system immediately after field work
· Submit preliminary softcopy reports to the client when required, and issue the final report within seven (7) days after monitoring
· Ensure all reports required for monthly claims are submitted at least one (1) week before month-end
D) Others
- Project Planning
a) Plan, coordinate, and supervise all instrumentation and survey activities.
b) Prepare and maintain the project monitoring schedule and manpower deployment plan.
c) Monitor project progress and ensure all field activities are carried out according to the approved schedule.
d) Review and verify monitoring data for completeness, accuracy, consistency, and identify any abnormal movements or trends.
e) Coordinate emergency monitoring activities in response to abnormal readings or urgent client requests.
f) Ensure all installation and monitoring reports are prepared and submitted within the contractual timeline.
g) Ensure all monitoring reports are submitted to the Billing Department within the required timeline to facilitate monthly invoicing.
h) Monitor instrument inventory and arrange procurement when stock reaches the minimum level.
i) Monitor calibration validity and arrange calibration, servicing, or repairs before expiry.
j) Liaise with clients, consultants, contractors, and internal departments regarding project progress, technical matters, and site coordination.
k) Attend project meetings and represent the Instrumentation Division when required.
l) Ensure compliance with project specifications, company procedures, quality requirements, and safety standards.
m) Ensure all monitoring data, field records, drawings, and project documents are properly maintained, backed up, and archived.
n) Continuously improve monitoring procedures, reporting quality, and operational efficiency.
- Maintenance
a) Ensure all equipment are serviced and in a good order
b) Ensure all equipment calibration are valid and calibrated certificate to file properly.
c) Ensure all consumables instruments are adequate in stock and record to be maintained and updated
- Overall
a) Verify all acquired data to be in good order
b) Check existing stocks of instrument and request to order when thresholds are reached
c) Check calibration validity of all instruments. Arrange calibration when due
E) Team Management
a) Ensure company vehicles are properly maintained and vehicle log books are updated.
b) Ensure instrument movement, usage, calibration, and maintenance records are properly maintained.
c) Allocate manpower efficiently based on project priorities and workload.
d) Monitor team performance, attendance, productivity, and compliance with company procedures.
e) Conduct regular briefings to ensure effective communication, quality of work, and safety awareness.
Pay: RM2,500.00 - RM3,000.00 per month
