Job Description

Responsibilities

We are seeking a detail-oriented and proactive HR Analyst to support end-to-end HR operations across the employee lifecycle, including onboarding, employee experience, payroll administration, performance tracking, and offboarding.

This role plays a critical part in ensuring smooth HR processes, maintaining compliance, and providing data-driven insights to support business and people decisions. The role will also contribute to HR systems, reporting, and employee engagement initiatives.

Key Responsibilities

1. Employee Lifecycle Management (Onboarding Check-ins Exit)

  • Manage end-to-end onboarding processes, ensuring smooth integration of new hires
  • Coordinate documentation, system access, orientation, and hiring manager readiness
  • Conduct employee check-ins (30/60/90 days and ongoing touchpoints) to monitor engagement and address concerns
  • Manage full offboarding process (resignation, termination, clearance, documentation)
  • Conduct exit interviews and analyze trends to improve retention strategies

2. Employee Relations & Performance Management

  • Support employee relations cases including preparation of disciplinary documentation (warning letters, show cause, termination letters)
  • Provide guidance to managers on employee matters, ensuring compliance with policies
  • Coordinate probation confirmation and performance review processes
  • Support Performance Improvement Plans (PIP), including tracking timelines, documentation, and outcomes

3. Payroll Operations & Administration

  • Support end-to-end payroll activities, including:
    • New joiner setup and data validation
    • Final payments for exits
    • Internal movements (salary revisions, promotions, transfers)
    • Leave, absence, and overtime validation
    • Ad-hoc payments, allowances, and long service awards
  • Verify payroll data accuracy and ensure timely processing
  • Coordinate with payroll vendors and finance to resolve discrepancies
  • Handle employee payroll queries, including complex calculations (bonus prorations, deductions, overtime)
  • Support statutory processes (e.g., zakat deduction setup, compliance requirements)

4. KPI Tracking & Bonus Management

  • Track and consolidate employee KPIs and performance data
  • Manage mid-year and annual bonus processes, including:
    • Identification of eligible employees
    • Data validation and consolidation (leave, performance, role movements)
    • Coordination with managers on submissions
    • Bonus calculations and validation
    • Finalization and support for communication of payouts

5. HR Reporting & Analytics

  • Prepare and maintain HR reports (e.g., attrition, workforce analytics, Bradford Factor, HR dashboards)
  • Support preparation of presentation materials (e.g., engagement surveys, leadership decks, townhalls)
  • Analyze HR data to identify trends across onboarding, engagement, attrition, and payroll
  • Provide insights and recommendations to improve HR processes and employee experience

6. HR Systems Implementation & Support

  • Support implementation and enhancement of HR systems (e.g., iAdmin, Protime, Workday)
  • Coordinate with external vendors and internal stakeholders for system improvements
  • Act as point of contact for system issues, troubleshooting and escalation
  • Conduct user training and ensure adoption of HR systems
  • Ensure processes align with local compliance and operational requirements

7. Attendance & Leave Management

  • Validate employee attendance and leave records prior to payroll processing
  • Ensure accurate and timely leave submissions and approvals
  • Monitor unpaid leave and ensure correct payroll deductions
  • Investigate and resolve discrepancies with employees and managers

8. Compliance & Contract Administration

  • Manage employment contract processes including stamp duty compliance
  • Ensure timely submission of contracts to relevant authorities (e.g., LHDN)
  • Ensure compliance with local regulations and company policies
  • Support audit activities and ensure proper HR documentation

9. Talent Acquisition & Training Support

  • Support recruitment activities by providing salary inputs and HR documentation
  • Assist Talent Acquisition team with onboarding-related coordination
  • Support training and development initiatives, including reporting and tracking
  • Identify training needs and compile learning data where required

10. Employee Engagement & HR Administration

  • Support planning and execution of employee engagement initiatives (events, wellness, celebrations)
  • Manage birthday and work anniversary recognition
  • Draft and circulate internal HR communications
  • Respond to employee and manager queries on HR policies, leave, payroll, and processes
  • Handle employment verification requests and external inquiries
  • Support ad-hoc HR operational tasks (e.g., SOCSO, MDEC submissions, WFH requests)
  • Any other ad-hoc tasks that assigned.

Qualifications

  • Bachelor’s Degree in Human Resources, Business Administration, or related field
  • 2–5 years of experience in HR operations / employee lifecycle roles
  • Strong understanding of payroll processes and HR compliance
  • Experience handling employee relations and performance processes
  • Strong analytical and reporting skills
  • High attention to detail and ability to manage multiple priorities
  • Good communication and stakeholder management skills
  • Experience with HR systems (Workday, iAdmin, Protime) is an added advantage
