JOB SUMMARY:
The Receptionist responsible for providing excellent customer service by assisting shoppers, tenants, visitors and business partners at the Information Counter. The role serves as the first point of contact for enquiries, provides accurate information regarding ITCC Mall's facilities, services and events, handles customer feedback, and ensures a professional and welcoming experience for all visitors.
1. Customer Service
- Welcome shoppers, tenants and visitors in a courteous, friendly and professional manner.
- Attend to enquiries regarding mall facilities, retail outlets, promotions, events and services.
- Provide directions and information on the location of shops, restaurants, offices and public facilities.
- Assist customers with general enquiries and service requests.
- Promote a positive image of ITCC Mall through excellent customer service.
2. Information Counter Operations
- Operate the Information Counter efficiently during assigned working hours.
- Ensure the Information Counter is clean, organized and presentable at all times.
- Maintain adequate stock of brochures, promotional materials and tenant directories.
- Update and display promotional materials as instructed by Management.
- Ensure all customer information provided is accurate and up to date.
3. Customer Feedback & Complaints
- Receive customer compliments, suggestions and complaints professionally.
- Record customer feedback accurately.
- Escalate complaints to the relevant department for prompt resolution.
- Follow up on customer enquiries and complaints where required.
- Maintain confidentiality when handling customer information.
4. Telephone & Communication
- Answer incoming telephone calls professionally.
- Direct calls to the appropriate department or personnel.
- Relay messages accurately and promptly.
- Respond to email enquiries and online customer enquiries where assigned.
5. Lost & Found Management
- Receive and record lost and found items.
- Maintain proper documentation of all lost and found property.
- Verify ownership before releasing recovered items.
- Coordinate with the Enforcement Department on lost and found matters.
6. Tenant & Visitor Support
- Assist tenants with basic operational enquiries.
- Coordinate with Mall Operations, Enforcement, Housekeeping and Maintenance to address customer requests.
- Support VIP visits, official functions and mall events.
- Assist elderly persons, persons with disabilities (PWD) and visitors requiring special assistance.
7. Administrative Duties
- Maintain daily records of enquiries and customer interactions.
- Prepare daily, weekly and monthly customer service reports when required.
- Update tenant directories and contact information.
- Maintain proper filing of customer service documents.
- Assist in other administrative duties assigned by the department.
8. Safety & Emergency Support
- Be familiar with emergency procedures and evacuation routes.
- Provide assistance to customers during emergencies.
- Immediately report suspicious persons, unattended items or incidents to the Security Department.
- Assist in emergency drills organized by the Management.
9. Parking System Management
- Assist in the daily operation and administration of the mall parking system by issue, register, update and maintain tenant, staff and season parking access cards or parking passes.
- Assist customers and tenants with parking-related enquiries and access issues.
- Process applications for season parking and maintain accurate parking records.
- Coordinate with the Security, Maintenance and Parking System service provider to resolve parking system faults or equipment issues.
- Monitor the operation of parking entry and exit barriers, ticketing machines and payment kiosks, and report any malfunction immediately.
- Assist in validating parking tickets and administering parking fee exemptions in accordance with the Company's policies.
- Prepare daily and monthly parking reports, including season parking records, parking revenue summaries and incident reports, where required.
- Ensure all parking transactions and records are accurately maintained and kept confidential.
- Perform any other parking administration duties assigned by the Management from time to time.
10. Other Duties
- Support promotional events, exhibitions and mall campaigns.
- Assist in customer satisfaction surveys and service improvement initiatives.
- Attend training programs organized by the Company.
- Perform any other duties assigned by the Property & Mall Operations Manager, General Manager or Management from time to time.
QUALIFICATIONS & EXPERIENCE:
- Minimum SPM or Diploma in Business Administration, Hospitality, Tourism, Customer Service or a related field.
- Minimum 1-2 years of experience in customer service, reception or front office operations.
- Experience in shopping malls, hotels or commercial buildings is an advantage.
- Pleasant personality with excellent communication and interpersonal skills.
- Able to communicate effectively in Bahasa Malaysia and English. Knowledge of Mandarin or other local languages is an added advantage.
- Computer literate in Microsoft Office applications.
- Able to work shifts, weekends and public holidays.
Pay: RM1,700.00 - RM2,300.00 per month
