Responsibilities

ROLE DESCRIPTION:
The client is seeking a highly polished, organized, and Mandarin speaking Executive Assistant to provide administrative and executive support for its Beijing office and regional leadership team.

This role will support a fast moving international team and will require strong calendar management, scheduling, travel coordination, communication, documentation, and cross team coordination skills. The ideal candidate will be professional, articulate, detail oriented, and comfortable supporting senior stakeholders in a mission driven nonprofit environment.

This is not a basic administrative role. The successful candidate will act as a reliable extension of the leadership and program team, helping keep schedules, communication, logistics, and administrative workflows organized across time zones.

ABOUT THE CLIENT:
The client is a climate focused foundation headquartered in Irvine, California. The organization is expanding its global presence and has already opened a Beijing office, with additional international growth planned. They are now looking to build structured administrative and executive support around their regional teams.

KEY RESPONSIBILITIES:

Manage complex calendars for regional leaders and program directors.

Coordinate meetings across multiple time zones, especially Beijing time and US time zones.

Schedule internal and external meetings with professionalism and accuracy.

Assist with travel planning, travel coordination, itinerary management, and related logistics.

Support communication between regional teams, leadership, and external stakeholders.

Assist with email coordination, follow ups, documentation, and general administrative tasks.

Help organize meetings, calls, agendas, and meeting preparation materials.

Support coordination with senior stakeholders, nonprofit partners, government related contacts, and industry peers where needed.

Maintain organized records, notes, schedules, and task lists.

Assist with basic project coordination and administrative follow through.

Help keep workflows clean, structured, and consistent as the Beijing support model develops.

Provide reliable day to day administrative support to reduce pressure on the internal team.

REQUIRED SKILLS AND EXPERIENCE:

Strong executive assistant or senior administrative support experience.

Mandarin speaking preferred or required, depending on final client confirmation.

Strong English communication skills, both written and verbal.

Experience managing complex calendars and schedules.

Experience coordinating travel and logistics.

Comfortable working with senior leaders, external stakeholders, and fast paced teams.

Highly organized and detail focused.

Strong follow up skills.

Professional, polished, and articulate.

Comfortable working across time zones.

Able to operate with discretion, confidentiality, and good judgment.

Comfortable with remote work tools, calendars, email systems, video meetings, and documentation platforms.

IDEAL CANDIDATE PROFILE:

The ideal candidate is not just someone who can complete admin tasks. The client needs someone mature, polished, and reliable who can support senior level professionals in a fast moving environment.

This person should be able to keep up with program directors, manage moving pieces, stay ahead of deadlines, communicate clearly, and represent the organization professionally when dealing with internal and external stakeholders.

The ideal candidate should be calm under pressure, proactive, mission aligned, and comfortable working in a structured nonprofit environment.

NICE TO HAVE:

Experience supporting nonprofit, foundation, climate, government, policy, research, or international teams.

Experience supporting executives or program directors.

Experience with international travel coordination.

Experience working with teams across the US and Asia.

Familiarity with Beijing business culture or regional operations.

Ability to support occasional event coordination or local logistics if needed and approved.
