About the Role

We are looking for a skilled and detail-oriented Bookkeeper to oversee daily financial transactions and support the month-end closing process for our eCommerce business. This remote position, based in Sri Lanka, requires close collaboration with our U.S.-based Home Office while independently managing core bookkeeping responsibilities. The ideal candidate will ensure accurate financial records, maintain organized accounts, and support the accounting team with reliable financial data.

Key Responsibilities

• Process vendor invoices, payments, and purchase order matching in Xero.
• Record customer payments, monitor accounts receivable, follow up on collections, and reconcile A/P and A/R aging reports while resolving discrepancies promptly.
• Perform monthly bank and credit card reconciliations, ensuring transactions are accurately coded to the appropriate accounts and cost centers.
• Investigate and resolve reconciliation issues in a timely manner.
• Manage the full payroll process, including payroll calculations, tax withholdings, direct deposits, payroll record maintenance, and coordination with the HR team.
• Prepare and submit federal and state payroll tax filings, including Forms 941, 940, and other required returns.
• Coordinate with external compliance partners to ensure timely sales tax and B&O tax filings across applicable states.
• Maintain filing schedules and respond to compliance-related notices and inquiries.
• Complete quality control checks before month-end close by identifying missing invoices, shipment dates, and unresolved Xero links.
• Identify transaction discrepancies, write-offs, and unexplained variances, escalating issues to the Home Office accounting team when necessary.
• Monitor transaction patterns and report anomalies that may indicate processing errors or financial losses.

Qualifications

• At least three years of bookkeeping experience, preferably with U.S.-based eCommerce businesses.
• Strong working knowledge of Xero accounting software (required).
• Solid understanding of U.S. GAAP and bookkeeping best practices.
• Experience processing U.S. payroll and preparing federal and state payroll tax filings.
• Advanced Microsoft Excel skills, including PivotTables and VLOOKUP functions.
• Proven ability to independently manage the complete bookkeeping cycle with minimal supervision.
• Exceptional attention to detail and the ability to maintain accuracy in high-volume transaction environments.
• Excellent written and verbal English communication skills, with experience collaborating remotely using Slack, Zoom, and email.
• High ethical standards and the ability to handle confidential financial information with discretion.
