Job Description

Responsibilities

Role Overview

The HR & Admin Executive runs the day-to-day people-operations, office and administrative functions for Hey Co Group’s multi-brand F&B portfolio, across all entities and outlets. This is a hands-on, coordination-focused role: keeping HR running smoothly, processing payroll for Finance Manager approval, coordinating recruitment with outlet managers, and working alongside an appointed work-pass agent who handles statutory work-pass expertise. The role reports to the Director, who owns HR strategy and senior decisions.

Key Responsibilities

Payroll

  • Run monthly payroll across all entities — process timesheets, leave, claims and overtime (StaffAny), compute CPF, SDL and levies, and prepare IR8A / IRAS submissions — and submit to the Finance Manager for review and approval before release.
  • Maintain accurate payroll records and statutory filing.

Recruitment Coordination

  • Manage job postings and sourcing across channels, for corporate and outlet roles.
  • Screen applications and coordinate interviews with outlet and operations managers, who lead hiring decisions for their own teams.
  • Prepare offer letters and onboarding documentation.
  • Confirm work-pass eligibility with the appointed agent before any offer is made.
  • Support manpower planning aligned to outlet openings.

HR Operations

  • Administer onboarding and offboarding end to end.
  • Manage leave, claims and attendance, including StaffAny exports.
  • Track work-pass quota and levy headroom across all entities; flag renewal deadlines and quota changes to the Director and the appointed agent before they bite.
  • Plan and run employee engagement and recognition activities; gather staff feedback and surface it to the Director.
  • Administer the performance-management cycle — coordinate probation reviews and appraisals, track completion, and maintain records — under the framework set by the Director.
  • Maintain the employee master list, HR records and statutory filing.
  • Handle day-to-day employee queries and first-line employee-relations matters; document disciplinary cases and escalate serious matters to the Director.

Work-Pass & Compliance Coordination

  • Liaise with the appointed work-pass agent on Work Permit, S Pass and EP applications and renewals.
  • Monitor and flag upcoming regulatory or deadline changes (for example, S Pass qualifying salary and PWM schedules) to the Director and the agent.
  • Keep HR and compliance records accurate and audit-ready, in line with the Employment Act, CPF, PWM, POHA and PDPA.

Office & Administration

  • Office management — supplies, facilities and vendor coordination.
  • General administrative support across the group.
  • Document control and filing.

AI & HR Technology

  • Use HR systems and AI / LLM tools to draft, summarise, screen and report faster, with sound judgement and accuracy.
  • Never put confidential employee data into public AI tools — maintain strict data confidentiality at all times.

Requirements

  • Diploma or Degree in Human Resource Management, Business or a related field.
  • 2–3 years of HR and/or administrative experience, ideally in F&B, retail, lifestyle or similar multi-outlet, shift-based service businesses.
  • Hands-on payroll experience with demonstrable command of CPF, SDL, levy and IR8A computation. This is a core function of the role, reviewed and approved by the Finance Manager.
  • Working knowledge of Singapore employment basics — Employment Act, CPF, leave and the work-pass framework. Specialist work-pass depth is not required, as applications are supported by an appointed agent.
  • Proficiency with HR and payroll systems and a strong command of Excel.
  • Confident, hands-on user of AI / LLM tools at work, with the discipline never to put confidential employee data into public AI tools.
  • Highly organised, able to juggle multiple functions and prioritise the important over the merely urgent.
