Responsibilities
Key Responsibilities:
1. Lease Renewal Management
Manage and monitor lease renewals for existing retail stores.
Ensure renewal letters and tenancy agreements are executed within the stipulated timeline.
Prepare renewal notices, confirmation letters, and related documentation.
2. Landlord Relationship Management
Liaise and negotiate with landlords on matters relating to:
Lease renewals
Store closures
Change of ownership
Operational and tenancy-related issues
Maintain effective relationships with landlords to facilitate smooth negotiations and timely resolution of issues.
3. Tenancy Administration
Coordinate with the Legal Department to review, negotiate, and finalize tenancy terms and conditions with landlords.
Ensure proper documentation and compliance with contractual requirements.
4. Rental and Payment Administration
Coordinate with the Finance Department on rental payments, security deposits, and other tenancy-related charges.
Maintain and manage payment records accurately and efficiently.
5. Property Management System and Database Maintenance
Utilize the Property Management System (Lark) for tenancy and rental administration.
Ensure timely and accurate updates of the master tenancy and rental database.
Maintain data integrity and proper record management for all property-related information.
6. Cross-Functional Coordination
Collaborate with internal departments to ensure smooth execution of property-related activities and compliance with company policies and procedures.
Support ad-hoc assignments and initiatives related to property management when required.
Requirements:
Bachelor's Degree or Diploma in Property Management, Real Estate, Business Administration, or a related field.
Minimum 1–3 years of experience in property management, lease administration, tenancy management, or a related function. Fresh graduates with relevant exposure are encouraged to apply.
Knowledge of tenancy agreements, lease administration, and rental management would be an added advantage.
Strong negotiation and interpersonal skills with the ability to manage landlord relationships effectively.
Good communication and coordination skills.
Proficient in Microsoft Office applications and familiar with property management systems (experience with Lark is an added advantage).
Detail-oriented with strong organizational and analytical skills.
Able to work independently and manage multiple priorities in a fast-paced environment.
