Position Summary
The Account Executive is responsible for supporting the company’s daily accounting operations, financial reporting, outlet sales reconciliation, payment processing, and statutory compliance. This role is important in ensuring accurate financial records for a fast-moving retail optical business with multiple outlets across different regions.
The position requires a detail-oriented, disciplined and responsible person who can manage deadlines, verify outlet transactions, support audit requirements and ensure proper documentation of all financial activities.
Key Responsibilities
1. Daily Accounting & Bookkeeping
- Handle daily accounting entries and maintain proper financial records.
- Prepare and update payment vouchers, journal entries, invoices, receipts and related accounting documents.
- Ensure all transactions are recorded accurately and on time.
- Maintain organised filing of accounting documents, both physical and digital.
2. Outlet Sales Reconciliation
- Check and reconcile daily sales reports submitted by outlets.
- Verify cash sales, card payments, e-wallet payments, online banking, instalment payments and other payment methods.
- Follow up with outlet teams on missing reports, incorrect figures or incomplete supporting documents.
- Highlight discrepancies, shortages or unusual transactions to management.
3. Accounts Payable
- Process supplier invoices, payment requests and staff claims.
- Verify invoices against purchase orders, delivery orders and supporting documents.
- Prepare supplier payment listings for approval.
- Monitor payment due dates to avoid late payment or disruption of supply.
4. Accounts Receivable
- Monitor outstanding balances, customer payments, corporate accounts or panel accounts, where applicable.
- Issue invoices, debit notes, credit notes and official receipts when required.
- Follow up on overdue payments and maintain updated debtor records.
5. Bank & Cash Reconciliation
- Perform bank reconciliation on a timely basis.
- Check outlet cash banking records and ensure deposits are made according to company procedures.
- Monitor cash movement and report any irregularities.
- Assist in preparing monthly reconciliation reports.
6. Month-End Closing
- Assist in monthly closing of accounts.
- Prepare schedules for expenses, accruals, prepayments, deposits and other balance sheet items.
- Support preparation of monthly management reports.
- Ensure all accounting deadlines are met.
7. Statutory Compliance & Audit Support
- Assist with yearly audit preparation and provide required documents to auditors.
- Support tax agent, company secretary and external auditor requests.
- Ensure accounting records comply with company policy and statutory requirements.
- Assist in preparing documents related to SST, withholding tax, company tax or other statutory submissions, where applicable.
8. Claims, Allowances & Staff-Related Payments
- Check and verify staff claims, travel claims, outstation claims and allowances.
- Ensure claims are supported with proper documents and approved according to company policy.
- Coordinate with HR when necessary for payroll-related finance matters.
9. Inventory & Outlet Support
- Assist in checking stock-related financial records, stock adjustment values and outlet inventory reports.
- Work with operations and admin teams on stock loss, damaged items, warranty items or inter-outlet transfers where financial impact is involved.
- Support new outlet opening by ensuring payment, deposit and vendor-related documents are properly recorded.
10. Internal Control & Process Improvement
- Ensure outlet financial procedures are properly followed.
- Identify weaknesses in outlet reporting, cash handling or documentation.
- Recommend improvements to strengthen internal control.
- Support management in reducing errors, losses and financial discrepancies.
Required Qualifications
- Diploma or Degree in Accounting, Finance, Business Administration or related field.
- Professional accounting qualification such as ACCA, LCCI, CAT or equivalent will be an added advantage.
- Minimum 2–3 years of accounting experience.
- Experience in retail, multi-outlet business, optical, healthcare, FMCG or service industry will be an advantage.
- Fresh graduates with strong accounting knowledge may be considered for junior level.
Required Skills & Competencies
- Good knowledge of basic accounting principles.
- Able to handle full set or partial set of accounts.
- Familiar with accounting software and Microsoft Excel.
- Strong attention to detail and accuracy.
- Able to meet deadlines, especially during month-end closing.
- Good follow-up skills with outlets, suppliers and internal departments.
- Honest, trustworthy and able to handle confidential financial information.
- Able to work under pressure in a fast-paced retail environment.
- Good communication skills in English and Bahasa Malaysia; Mandarin is an added advantage.
Preferred Experience
- Experience handling accounts for multiple branches or outlets.
- Experience checking daily sales reports and payment reconciliation.
- Experience dealing with suppliers, auditors and tax agents.
- Familiarity with retail POS system reports will be an added advantage.
- Experience in optical retail or healthcare retail is preferred but not compulsory.

Pay: RM3,000.00 - RM3,500.00 per month
