Job Description

Responsibilities

We are looking for a responsible and organized Project Administrator to support the project team in administrative, documentation, and coordination tasks. The role is responsible for maintaining project records, ensuring proper documentation, coordinating logistics, and supporting smooth project operations.

Responsibilities:

  • Provide administrative and secretarial support to the project team.
  • Ensure project documents and procedures comply with ISO requirements.
  • Monitor and maintain project documents, including site reports, progress report, handover inspections, and other related records.
  • Maintain the master list for Certificate of Practical Completion (CPC) and Defects Liability Period (DLP).
  • Update and maintain stock inventory records.
  • Ensure project and engineering documents are properly checked and submitted on time.
  • Distribute updated documents and drawings to relevant staff, contractors, suppliers, and consultants.
  • Maintain and archive approved documents and drawings for easy retrieval.
  • Record and file project-related correspondence and documentation.
  • Assist with logistics and delivery arrangements for materials and equipment.
  • Support the project team during audits.
  • Provide backup support for reception duties when required.
  • Perform any other duties assigned by management.

Requirements:

  • Diploma in Construction, Building Technology, Project Management, or a related field.
  • Minimum 1 year of relevant working experience in administration, project coordination, or document control.
  • Knowledge of ISO documentation requirements is an added advantage.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
  • Good organizational and documentation skills with strong attention to detail.
  • Able to multitask and work independently with minimal supervision.
  • Good communication and interpersonal skills.
  • Possess a positive attitude and willingness to learn.
  • Willing to travel or relocate at outstation project sites when required.
