Position Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant & Business Administration Executive to support the Managing Director and assist in the daily administration of the company.
This role is ideal for someone who enjoys managing schedules, coordinating projects, handling administrative tasks, and ensuring smooth business operations in a fast-paced environment.
Key Responsibilities
Executive Support
* Manage the Managing Director’s calendar, appointments, meetings, and travel arrangements.
* Prepare meeting agendas, minutes, and follow-up action items.
* Coordinate internal and external communications.
* Assist in preparing presentations, reports, and business documents.
* Follow up on deadlines and ongoing projects across departments.
Business Administration
* Maintain company records, documents, and filing systems.
* Coordinate office administration and procurement.
* Assist with HR administration, onboarding, leave records, and staff documentation.
* Support finance administration, invoice tracking, payment follow-ups, and document submissions.
* Liaise with suppliers, service providers, government agencies, and business partners.
* Monitor company licenses, renewals, and compliance-related documentation.
Operations Coordination
* Coordinate activities between sales, marketing, warehouse, finance, and product development teams.
* Track project progress and provide updates to management.
* Assist in event planning, exhibitions, meetings, and company activities.
* Handle ad hoc assignments from management.
Requirements
* Diploma or Bachelor’s Degree in Business Administration, Management, or related field.
* Minimum 2 years of working experience in administration, executive assistant, personal assistant, or office management roles.
* Excellent organizational and time management skills.
* Strong written and verbal communication skills in English and Bahasa Malaysia.
* Proficient in Microsoft Office, Google Workspace, and productivity tools.
* Able to handle confidential information with professionalism.
* Independent, resourceful, and capable of multitasking.
* Experience supporting senior management is an added advantage.
