About the role
We are seeking a dedicated and organised Admin Clinic to join our team in Kota Kinabalu, Sabah. This is a full-time position based on-site at our clinic. As Admin Clinic, you will be the backbone of our clinic operations, providing essential administrative support that ensures smooth day-to-day functioning and an excellent experience for both our patients and clinical staff. Your role is strategically important in maintaining clinic efficiency, managing patient records, and supporting the delivery of high-quality physiotherapy services.
Key responsibilities
Managing patient appointments, scheduling, and calendar coordination to optimise clinic flow and resource allocation
Greeting patients upon arrival, registering new patients, and maintaining accurate patient records and documentation
Handling patient inquiries via phone, email, and in-person with professionalism and courtesy
Processing patient invoices, managing payments, and maintaining financial records
Ordering and managing clinic supplies, equipment, and inventory levels
Preparing treatment rooms and ensuring the clinic environment is clean, organised, and welcoming
Filing and maintaining confidential patient records in accordance with data protection regulations
Assisting physiotherapists and clinical staff with administrative tasks to support patient care delivery
Performing general office administration tasks including correspondence, data entry, and report preparation
What we're looking for
High school diploma or equivalent qualification at minimum; further administrative or business qualifications are advantageous
Proven experience in a clinic, medical practice, or healthcare administrative environment
Proficiency in Microsoft Office applications (Word, Excel, Outlook) and familiarity with clinic management software or patient record systems
Excellent organisational and time management skills with the ability to prioritise multiple tasks effectively
Strong communication and interpersonal skills, with a patient-focused approach
Attention to detail and accuracy in record-keeping and data entry
Professional demeanour with a calm and courteous manner, especially when handling patient interactions
Ability to maintain confidentiality and handle sensitive patient information responsibly
Flexibility and willingness to support the wider clinic team as needed
Knowledge of healthcare data protection and privacy regulations is preferred
