Responsibilities
Manage calendars, appointments, meetings, and travel arrangements for senior management.
Coordinate and prioritize schedules to optimize efficiency and ensure timely follow-up on key matters.
Screen and manage incoming calls, emails, and correspondence.
Prepare meeting agendas, presentation materials, reports, and minutes of meetings.
Act as a key liaison between management and internal departments, headquarters, customers, and external stakeholders.
Facilitate communication and ensure timely dissemination of information.
Follow up on action items and coordinate cross-functional activities to support business objectives.
Organize and maintain confidential documents, records, and filing systems.
Handle expense claims, procurement requests, and administrative documentation.
Support the arrangement of business visits, company events, and management meetings.
Assist in monitoring key initiatives and project progress.
Prepare business reports, dashboards, and management presentations.
Support ad hoc assignments and strategic projects as delegated.
Coordinate with regional and headquarters teams to ensure effective execution of business priorities.
Handle sensitive and confidential information with the highest level of integrity and discretion.
Maintain professionalism in dealing with stakeholders at all levels.
Bachelor's Degree in Business Administration, Management, Communications, or related disciplines.
Minimum 3–5 years of experience as an Executive Assistant, Personal Assistant, Office Manager, or similar role supporting senior leadership.
Experience in multinational companies or fast-paced environments will be an added advantage.
Excellent organizational, coordination, and time management skills.
Strong interpersonal and communication abilities.
Ability to multitask and work independently under pressure.
High level of integrity, professionalism, and confidentiality.
Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
Strong presentation and report preparation skills.
Fluent in English and Mandarin (written and spoken) to facilitate communication with regional teams and stakeholders. Proficiency in Bahasa Malaysia will be an added advantage.
