Project Admin
We are looking for a detail-oriented and organized Project Admin & Operations Coordinator to support daily business operations, project administration, documentation, and financial tracking.
This role is suitable for someone who enjoys organizing information, managing documents, tracking project progress, and ensuring all administrative processes run smoothly.
Key Responsibilities
- Prepare, update, and organize quotations, invoices, receipts, and project documents.
- Maintain accurate project records and customer information.
- Track project costs, sales records, and payment statuses.
- Record and monitor staff, salesperson, and referral commission payments.
- Prepare project summaries, reports, and job documentation.
- Follow up on pending quotations, payments, and required documents.
- Coordinate with clients, suppliers, subcontractors, and internal team members.
- Manage company registrations, vendor registrations, and client onboarding documentation.
- Organize contracts, agreements, warranties, and project files.
- Update spreadsheets and databases with project and financial information.
- Assist management with administrative and operational tasks.
- Ensure all company records and documentation are properly maintained and accessible.
Requirements
- Diploma or Degree in Business Administration, Management, Accounting, Finance, or related fields.
- Fresh graduates are encouraged to apply.
- Experience in administration, operations, accounting, project coordination, or construction industry is an advantage.
- Strong attention to detail and accuracy.
- Good organizational and time management skills.
- Able to handle multiple tasks and deadlines.
- Proficient in Microsoft Excel, Google Sheets, Google Drive, and Microsoft Office.
- Familiar with quotations, invoices, payment tracking, and documentation management.
- Good communication skills in English and Bahasa Malaysia.
Preferred Skills
- Experience using QuickBooks, accounting software, or CRM systems.
- Basic understanding of bookkeeping and project costing.
- Experience handling government, corporate, or vendor registrations.
