Job Description

Responsibilities

1) Administrative Functions

  • Liaise with internal and external stakeholders on venue rental.
  • Liaise with the finance department on the issuance of billing for venue rentals/ sub-tenants.
  • Monitor the payment from the renters and sub-tenants. To follow up on any delayed payments.
  • Monitor and manage day-to-day food hall operations and sub-tenants.
  • Monitor and ensure prompt replacement of vacated F&B stalls.
  • Identify and compile prospective F&B stall operators and facilitate a meeting with the F&B Working Committee.
  • Preparation of minutes of meeting for the F&B Working Committee Meetings.
  • Monitor the budget for space and project management.
  • Issue Purchase Requisitions (PR) in Esker and oversee the complete purchasing processthrough Goods Receipt Note (GRN).
  • Provide oversight of vending machine operations, ensuring service reliability, stock availability, and compliance with agreed service levels.
  • Strengthen contract and vendor management processes through effective performance monitoring, issue resolution, and adherence to contractual terms.
  • Enhance monitoring of budget utilization and reporting, ensuring accurate tracking of expenses, cost control, and timely financial reporting.
  • Able to leverage technology to improve efficiency, communication, and work processes.
  • Support the Manager, Building Facilities, in the preparation of papers for Board of Directors, Executive Committee, and Executive Group meetings on tenancy-related approvals/project matters.

2) Legal Functions

  • Liaise with the Head of Management Unit to assist in arranging for legal reviews to bedone, including follow-ups, and ensure the necessary documents comply with Universitypolicies and procedures.
  • Liaise with Legal Counsel for price quotation for info/comparison & coordinate for the University, legal counsel review of Sub-Tenancy Agreement, letters or legal advice, getting authorized signatures for on-campus agreements in line with the financial delegation authority & coordinate sending for stamping at legal firm(s).
  • Tracking of legal counsel responses for any price quotations, their reviews, and draftingof legal documents for the University.
  • Arrange and coordinate the signing of Sub-Tenancy.
  • Agreements for on-campus operators in line with financial delegation authority.
  • Establish a register to track and monitor the progress of agreements being signed

3) Tracking Functions

  • Ensure renewals of tenancies are timely, taking into consideration the timing to obtain delegated approvals.
  • Ensure legal reviews are done and the Document Execution Form is completed, signed, and attached to the contract.
  • Ensure contracts and instruments are signed with the company’s rubber stamp affixed bythe signing parties and stamped by LHDN.

4) Customer Service

  • Collaborate with internal and external customers to better understand, anticipate, and meet the current and future needs of the branch campus university and its students in accordance with organizational expectations.
  • Provide accurate information and advise the staff on unit policies and procedures.
  • Able to work well with staff members from other departments to provide the best customer service.

JOB REQUIREMENTS

  • A minimum of a Bachelor’s degree in a related discipline from a recognized institution with at least three (3) years of relevant working experience.
  • Master’s degree holders can be considered.
  • Excellent skills in written and spoken English.
  • Good problem-solving, negotiation, and organizational skills.
  • Ability to monitor, analyze, and report on relevant data and to identify lead indicators and take necessary action.
  • Excellent interpersonal skills and able to work effectively in a consultative and team environment.
  • Ability to handle more than one priority at a time and successfully prioritize tasks.
  • Previous experience in an administrative capacity is highly desirable.
  • Proven ability to manage clients, stakeholders, and business partners is highly desirable.
  • Previous experience working in an institution of higher learning is preferable.

Pay: RM4,000.00 - RM7,000.00 per month
