The Admin Executive at MR ROBOT ensures smooth day-to-day operations by supporting administrative, operational, and basic finance functions across teams. Working closely with Business Development, Engineering, and other departments, this role is key to maintaining efficient workflows, coordination, and documentation as we scale our AI robotics platform across Southeast Asia.

You’ll multitask across functions, support team execution, and help keep operations running efficiently. Job Responsibilities:

Administrative & Operational Support

  • Provide comprehensive administrative support across multiple departments.
  • Manage document control, including filing, scanning, and record organization.
  • Coordinate day-to-day office operations to ensure efficiency.
  • Support internal teams with documentation, reporting, and coordination.
  • Handle procurement documentation and billing processes.
  • Liaise with vendors and internal stakeholders for smooth operations.
  • Coordinate with relevant parties on import/export and customs clearance matters.
  • Provide administrative support to the Business Development (BD) team.
  • Assist in preparing quotations, sales documents, and client follow-ups.
  • Support cross-functional teams (Sales, Marketing, Engineering) in event coordination.


Accounting Support

  • Assist in preparing invoices, purchase orders (PO), and payment vouchers.
  • Support accounts payable and basic accounting activities.
  • Maintain accurate filing and documentation of financial records.
  • Ensure timely and accurate recording of transactions.
  • Assist in petty cash handling and basic reconciliation.


Required Qualifications & Experience:

  • Degree in Accounting, Finance, Business Administration, or a related field.
  • 1 - 3 years of relevant working experience (fresh graduates are encouraged to apply).
  • Proficient in SQL Accounting System and Microsoft Office.
  • Strong multitasking and time management skills.
  • Able to work under pressure and meet deadlines.
  • Detail-oriented with strong organizational skills.
  • Able to work independently with minimal supervision.
  • Good communication and interpersonal skills.
  • Proficiency in Mandarin (written and spoken) to communicate effectively with business partners and clients in China.
