The ideal candidate is highly organized, detail-oriented, and proactive, with strong judgment and the ability to work independently. They thrive in an environment where no task is too small and are comfortable balancing day-to-day administrative responsibilities with higher-level People Operations initiatives.

  • Present candidate recommendations and hiring updates to the Director for review and approval at key stages of the hiring process
  • Prepare offer details and onboarding coordination following final hiring approval
  • Maintain a positive candidate experience and ensure timely communication throughout the recruiting process

Benefits & 401(k) Administration

  • Partner with Director to administer health benefits and retirement plans.
  • Support Open Enrollment communications and execution.
  • Serve as a primary point of contact for employee benefits questions and support.

People Systems & HRIS

  • Own employee and contractor data within the HRIS, ensuring accuracy and integrity
  • Manage updates, audits, and reporting as needed
  • Respond to employee HR inquiries with clarity and discretion.
  • Troubleshoot issues and improve data processes over time

Compliance Support

  • Support compliance with federal and state employment requirements by maintaining accurate records and documentation
  • Assist with compliance-related tasks such as I-9 verification, audits, and required updates to employee records
  • Help ensure policies and practices align with basic compliance standards across a distributed, multi-state team
  • Flag potential compliance risks or gaps to the Director and support resolution as needed

Internal Communications

  • Draft and distribute clear, professional company-wide communications related to People Ops programs and updates
  • Partner with leadership on People Ops messaging as needed

Logistics & Operations Support

  • Manage company swag ordering and distribution
  • Support travel coordination and company events as needed

Qualifications

  • 4–7+ years of experience in a People Operations or HR Generalist role
  • Demonstrated ability to own and manage core People Ops processes independently
  • Experience maintaining HR systems and improving workflows
  • Strong accuracy and follow-through across sensitive data and processes
  • Clear and professional written and verbal communication skills
  • Ability to handle confidential information and navigate employee matters appropriately
  • Experience recruiting and managing a full-cycle recruiting process

Preferred

  • Exposure to multi-state employment environments and familiarity with state-specific compliance considerations (e.g., leave laws, wage and hour basics)
  • Experience working in a remote environment and/or agency setting
  • Familiarity with HRIS systems and project management tools to support HR operations and workflow management (e.g., Gusto, Asana, or similar platforms)

Why Join ZGM
