Responsibilities

Job Summary

The Senior HR & Admin Executive is responsible for managing the company’s human resources and administrative functions, ensuring smooth daily operations and compliance with company policies and Malaysian regulations. This role requires independent handling of recruitment, payroll, employee relations, government liaison, administrative operations, and company facility management.

Key ResponsibilitiesA. Human Resource Management

1. Manage the full recruitment process, including sourcing, interview arrangements, hiring, and onboarding.

2. Handle payroll processing, overtime calculations, allowances, and employee records management.

3. Monitor and manage employee attendance and resolve attendance-related issues.

4. Plan, organize, and execute employee training and development programs.

5. Develop and coordinate employee welfare and benefits programs.

6. Handle employee disciplinary matters, counseling, and reward & punishment procedures.

7. Communicate with department heads regarding manpower planning and assist in resolving workforce-related issues.

8. Liaise with relevant government authorities such as Jabatan Tenaga Kerja (JTK), PERKESO, and Employees Provident Fund (KWSP) on HR-related matters.

9. Coordinate with manpower agencies and external parties regarding HR matters.

10. Handle employee visa, work permit, and related immigration documentation.

11. Assist in manpower planning, organizational structure planning, and HR cost budgeting.

12. Ensure HR policies and practices comply with Malaysian labor laws and regulations.

B. Administration Management

1. Manage and renew company licenses, permits, and official certifications.

2. Monitor and manage administrative expenses including utilities, internet, telephone, and office-related expenses.

3. Manage office supplies, company assets, keys, and administrative resources.

4. Coordinate maintenance and inspection of company facilities and equipment, including building facilities, fire protection systems, air compressors, and air-conditioning systems.

5. Manage IT server room facilities and office equipment maintenance, and coordinate with relevant service providers when necessary.

6. Organize employee welfare activities, festive celebrations, and company events.

7. Assist in receiving suppliers, customers, auditors, and government officers.

8. Oversee workplace cleanliness, safety, and general administrative order.

9. Prepare and manage administrative budgets and cost control initiatives.

Job Requirements

1. Bachelor’s Degree or above in Human Resource Management, Business Administration, Management, or related fields.

2. Minimum 5 years of relevant HR working experience.

3. Proficient in Mandarin, English, and Bahasa Malaysia (spoken and written).

4. Manufacturing industry experience will be an added advantage.

5. Well-versed in Malaysian employment laws and regulations, including:

1. Employment Act 1955

2. Industrial Relations Act 1967

3. and other related labor regulations.

6. Familiar with payroll processing, attendance systems, and statutory submissions.

7. Strong communication, coordination, execution, and problem-solving skills.

8. Able to work independently with good organizational and time management skills.

Preferred Qualifications

· Experience in foreign worker management and visa processing.

· Familiar with ISO, RBA, or manufacturing audit requirements.

· Experience in HR system implementation or process improvement projects.

· Able to work in a fast-paced and growing company environment.

Pay: RM6,000.00 - RM8,000.00 per month
