1. Office & Document Management
- Handle daily administrative tasks, including office supplies procurement, inventory management, and office environment maintenance.
- Draft, review, print, distribute, and archive official documents of the General Manager’s Office.
- Ensure proper record-keeping, document standardisation, and confidentiality.
- Coordinate with other departments to ensure smooth cross-departmental workflows.
2. Hostel Management
- Oversee workers’ hostel facilities to maintain cleanliness, safety, and compliance.
- Manage hostel occupancy and room assignments.
3. Driver & Company Car Management
- Manage company vehicles: road tax, insurance, service schedules, and inspections.
- Coordinate drivers’ daily tasks, routes, and availability.
- Maintain accurate logbooks and vehicle usage records.
4. Administrative System Improvement
- Assist in optimizing the company’s administrative systems and processes.
- Participate in preparing administrative work plans and summaries.
- Continuously enhance administrative work efficiency and standards.
5. Senior Management Support
- Provide dedicated administrative support to senior managers.
- Arrange business trips (tickets, hotels, etc.), manage schedules, and handle personal matters entrusted by managers.
- Ensure high efficiency and smooth workflow for senior management.
6. Meeting & Event Coordination
- Organize and coordinate meetings, seminars, and business events for the General Manager’s Office and senior management.
- Prepare agendas, arrange venues, notify participants, take meeting minutes, and follow up on action items.
